Position Summary
  • The Business Services Executive Assistant is responsible for providing administrative support to the Business Services and Support Services department. This position will coordinate and assist with various areas of business services, including Janitorial, Facilities, Insurances, Safety, Homeless Prevention, Permanent Supportive Housing, and Transportation.
Essential Duties and Responsibilities
  • Collaborate with the Chief Business Officer (CBO) to ensure the effective delivery of Homeless Prevention Services for the South Suburban Council on Homelessness (SSCH).
  • Develop policies and procedures that ensure all facilities are well‑maintained and safe.
  • Create policies and procedures to ensure compliance of all permanent supportive housing units with state and federal requirements.
  • Work with the CBO and other staff to ensure janitorial staff are allocated appropriately.
  • Prepare and review necessary paperwork, such as timesheets, accident reports, new hire documents, employee training records, work orders, equipment requests, fleet management, and supply orders.
  • Establish relationships with customers by overseeing regular customer satisfaction surveys to ensure the highest level of customer satisfaction.
  • Document customer concerns and resolve problems and complaints in a timely manner.
Other Duties
  • Recognize staff talents, abilities, and interests, and provide guidance to help them enhance their performance, job satisfaction, and overall department operations.
  • Provide open and constructive feedback regularly, utilizing active listening skills to encourage dialogue and build strong rapport with staff.
  • Conduct regularly scheduled department meetings to facilitate effective communication among the team and provide a forum for input. Promote agency‑wide teamwork through collaboration with other departments.
  • Monitor assigned accounts for opportunities to add work to existing contracts.
  • Ensure that staff employ sound business practices and customer service skills while supporting internal and external customers.
  • Maintain open lines of communication by assisting with employee relations issues, providing coaching and counseling to empower a cohesive work environment.
  • Ensure compliance with applicable licensing, funding, accreditation, and state/federal regulatory requirements, including safety standards and agency policies and procedures.
  • Manage special projects and perform additional duties or tasks as needed.
Qualifications
  • A bachelor's degree is required. Master’s degree is preferred.
  • Minimum of two (2) years of management/administrative experience.
  • Effective communication skills, both oral and written.
  • Valid Illinois driver’s license and documentation of current auto insurance with a good driving record.
  • Proficient in the use of computers, software applications, and working knowledge of Microsoft Office Suite programs.
Physical Requirements
  • Medium Work
    . Medium work involves lifting no more than 50 pounds at a time and frequently lifting or carrying objects weighing up to 25 pounds. If someone can do medium work, we determine that they can also do sedentary and light work.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • Must be able to safely lift as needed.
  • Must be able to safely bend, twist, push, pull and reach.
  • Travel by automobile in all weather conditions to all Sertoma Star Services facilities, contracts and rest areas as needed.
  • The work will occur in an office and/or field environment. The physical environment requires the employee to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions.
  • May be requested to work overtime and weekends for special program.
  • May be requested to work evenings/weekend hours and be on call to respond to emergencies.
