Position: Facilities Manager (Maintenance)

Transformation House is seeking a facilities manager for our residential & non residential sites. The perfect candidate will have experience providing maintenance, managing vendors, coordinating all maintenance, grounds and vehicle needs; organized, skilled at managing a budget and prioritizing needs.

Position summary

The Facility Manager leads the safe, reliable, and cost-effective operation of Transformation House Inc. facilities, grounds, vehicles, and maintenance resources. The position plans and prioritizes work; supervises assigned maintenance employees; coordinates contractors and vendors; maintains records and budgets; and performs skilled, hands-on maintenance. The role supports residential and non-residential program operations across multiple sites and responds to urgent facility needs consistent with the on-call schedule.

duties and responsibilities
  • Lead day-to-day facilities and maintenance operations across assigned sites; establish priorities, schedules, preventive-maintenance routines, and service standards.
  • Supervise, train, schedule, and evaluate assigned maintenance staff; assign work, verify completion, reinforce safety practices, and provide meaningful input on hiring, discipline, and other personnel decisions.
  • Inspect buildings, grounds, vehicles, and equipment; identify hazards and deficiencies; promptly correct or escalated conditions affecting resident, employee, visitor, or property safety.
  • Perform and oversee general carpentry, painting, drywall, hardware, appliance, plumbing, electrical troubleshooting, HVAC/boiler observation, snow/ice response, grounds, and similar maintenance within the employee's competence and all legal licensing boundaries.
  • Develop scopes of work, obtain and evaluate quotes, coordinate approved vendors and contractors, monitor quality and schedule, and confirm satisfactory completion before recommending payment.
  • Administer the work-order system; document requests, labor, materials, inspections, recurring problems, warranties, and completion status in a timely manner using the organization's provided technology.
  • Manage maintenance inventory, tools, keys, access devices, and organization vehicles; control purchases within delegated authority and follow procurement and expense-approval procedures.
  • Support annual facilities planning and budgeting; identify capital needs, lifecycle risks, code concerns, and cost-saving opportunities; provide regular status and risk reports to the CEO.
  • Coordinate required inspections, permits, and compliance activities. Do not perform or direct work requiring a license, permit, certification, or contractor registration unless Transformation House and the individuals performing the work hold all legally required authority.
  • Participate in emergency preparedness and incident response; provide on-call coverage; communicate service interruptions and urgent risks.
  • Maintain professional boundaries, confidentiality, and respectful conduct in residential/program settings; minimize disruption and follow site access and resident-safety protocols.
  • Attend required meetings and training and perform other related duties assigned by the CEO.
Decision authority and accountability
  • May assign and reprioritize maintenance work and coordinate vendors within approved policies and budgets.
  • Must obtain advance approval for contracts, capital expenditures, unbudgeted purchases, and work outside delegated authority.
  • Must stop work and notify leadership when conditions present an imminent safety risk, require specialized licensed work, or exceed available competence, staffing, or authorization.
  • Is accountable for accurate work-order records, safeguarding organization property, and timely escalation of material facility risks.
Minimum qualifications
  • At least 18 years of age and legally authorized to work in the United States.
  • Substantial practical experience in multi-site facilities maintenance, construction, property operations, or a closely related field; supervisory or project-lead experience strongly preferred.
  • Working knowledge of building systems and preventive maintenance, including general carpentry and heating-system fundamentals; ability to troubleshoot common electrical, plumbing, appliance, and mechanical issues without exceeding licensing limits.
  • Ability to plan work, manage vendors, use a digital work-order system, maintain records, and communicate clearly with leadership, staff, residents, and contractors.
  • Valid driver's license and driving record acceptable to the organization's insurer; ability to satisfy all requirements applicable to organization business driving.
  • Ability to work independently, exercise sound judgment, respond calmly to urgent conditions, and maintain confidentiality and appropriate boundaries.
  • Required background checks and any other screening applicable to the organization's services and policies.
