Program Assistant

District 214 Community Education is seeking a compassionate and organized Program Assistant to support the Prevention Initiative Birth to Three Program, helping provide meaningful services to expectant parents and families with young children throughout our community. Working alongside the Program Coordinator and Home Visitors, you'll play an important role in supporting a program that connects families with valuable resources through administrative support, organization, communication, and program coordination.

Schedule:

This is a part-time, grant-funded position, up to 20 hours/week. Daytime hours, occasional evenings and weekends required. Exact hours are to be determined. This is an IMRF position.

Salary: $22.00 per hour

General Responsibilities:

  • Provide administrative support to the Prevention Initiative Supervisor and Home Visitors, as requested
  • Utilize IWAS to enter PI family data, Parent Questionnaire responses, and Outcomes Questionnaire responses into SIS in a timely and compliant fashion
  • Communicate with Home Visitors for follow-up questions and/or for missing information on family intake cards
  • Attend SIS webinars as required by ISBE and PI Supervisor
  • Collaborate in the development and generation of program reports
  • Manage inventory of program materials and supplies and places orders as needed
  • Maintain organized files, documentation, and resource materials, ensuring program database and rosters are accurate and up to date
  • Manage the holdings, organization, inventory, lending, and sanitizing activities of the Toy Lending Library and Parent Resource Library
  • Develop promotional materials, flyers, and newsletters
  • Collects and verifies accuracy of Home Visitors' monthly calendars, time logs, mileage logs, and reimbursement forms
  • Monitor and ensure home visitors submit documentation, paperwork, and any electronic information required on time
  • Organize on-site meetings, group encounter events, and outside program events as needed
  • Communicate regularly with the PI Supervisor regarding the progress of the program toward the achievement of outcomes
  • Assist the PI Supervisor in developing and implementing new plans and strategies to enhance the quality of the program services
  • Complete required training modules annually in the Public School Works platform
  • Perform other tasks as assigned

Qualifications:

  • Some college preferred, ideally AA in Early Childhood Education
  • High School Diploma or equivalent minimum
  • Expertise in Microsoft Office Suite and Google Suite
  • Data entry skills, with attention to detail and accuracy
  • 2 years' experience in an administrative/office role
  • Experience working with young children in an instructional setting
  • Must pass a criminal background check
  • After hire:
    Certified by Baby TALK through the 4-day Baby TALK certification training
  • First Aid and CPR certifications

Physical Demands:

  • This is largely a sedentary role; however, some filing, lifting and walking are required
  • Ability to lift 20 lbs., bend, stoop, and stretch overhead
  • Ability to travel to local off-site locations

Required

  • High School Diploma or Illinois High School Equivalency Certificate required
