Job Title:
Patient Service Representative
- Provide a warm welcome to all visitors and supply necessary information and assistance.
- Answer incoming calls, manage the front desk, and provide general administrative support.
- Check‑in new and existing patients and notify clinical staff of patient arrival.
- Collect patient information for new patients (Patient Registration Form, Medical History Form, HIPAA privacy notice).
- Check out patients (collect payments, schedule next appointment).
- Answer questions and provide information to walk‑in patients.
- Maintain comm‑log with patient/parent communications.
- Review daily clinic schedule for changes and adjust as needed.
- Plan open slots two days in advance for bondings/adjustments/new patient consultations; adjust clinic hours accordingly.
- Review for bonding approvals and ensure bondings are Approved and Active with insurance (day before and day of appointment).
- Explain cancellation policy to patients.
- Print end‑of‑day reports and maintain a clean office/reception area.
- Check and reply to office emails; verify collected payments against reports and reconcile credit card transactions.
- Call patients with outstanding balances.
- When traveling to another clinic, perform all duties and responsibilities of your role, including administrative tasks.
- Participate in marketing events and light cash handling.
- Other tasks as assigned.
- High school diploma or GED equivalent.
- 3 years of customer service experience.
- 2 years of patient service experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, Access).
- Excellent problem solving and de‑escalation skills.
- Excellent written and verbal communication skills.
- Bilingual — Spanish preferred.
- Travel to Glendale Heights, Mundelein, Algonquin, DeKalb clinics for coverage.
- Monday – Wednesday: 8:45am – 5:00pm
- Thursday – Friday: 6:45am – 3:00pm
- 2 Saturdays per month
- Two 9:45am – 6:00pm shifts per month
- Pay: $19.00 – $20.00 per hour
- Paid Patient Service Representative Training
- Travel Pay (when traveling to sister clinics farther than 15 miles away from base clinic)
