The Marketing Operations & Events Coordinator owns the operational planning and execution of Thermo Safe’s tradeshow and event program and plays a critical role in ensuring marketing operations run smoothly across the organization.
This role works closely with marketing team members and cross-functional partners across sales, product, operations, and finance to manage events, systems, memberships, inventory, and brand touchpoints that directly impact the customer experience. While execution is the primary focus, this role has the opportunity to contribute to and grow into greater ownership of event optimization and strategy over time.
What you’ll be doing:
- Owning end-to-end planning and execution of Thermo Safe’s tradeshow and event program
- Managing event registrations, contracts, invoicing, and payment processing
- Coordinating logistics including booth space, vendors, shipping, and returns
- Maintaining event calendars, timelines, checklists, and documentation
- Partnering cross-functionally to ensure teams are prepared and aligned
- Supporting post-event reconciliation, asset return, and continuous improvement
- Managing marketing-related memberships, subscriptions, and renewals
- Processing payments and supporting expense tracking in coordination with finance
- Maintaining and managing marketing inventory, including booths, samples, and branded materials
- Working confidently within marketing, human resources, and procurement systems to support workflows and approvals
- Ensuring data accuracy, documentation, and operational consistency
- Supporting operational aspects of the Thermo Safe brand that interface directly with customers
- Ensuring customer-facing materials and experiences meet brand standards
- Owning the execution of marketing and communications deliverables based on organizational needs
- Coordinating and distributing internal communications (announcements, updates, event communications)
- Supporting external-facing communications such as emails, event messaging, and customer updates
This is a hybrid position with in-office attendance at our Corporate Office location in Arlington Heights, IL.

- 2–4 years of experience in marketing operations, events, coordination, or a related role
- Experience managing logistics, vendors, inventory, or payments
- Comfort working within CRM, marketing, or procurement systems and learning new tools quickly
