Scope of the Role
The Marketing Operations & Events Coordinator owns the operational planning and execution of Thermo Safe’s tradeshow and event program and plays a critical role in ensuring marketing operations run smoothly across the organization. This role ensures flawless delivery of trade shows and clean, reliable marketing infrastructure, so the broader team can focus on strategy, content, and growth.
This role works closely with marketing team members and cross-functional partners across sales, product, operations, and finance to manage events, systems, memberships, inventory, and brand touchpoints that directly impact the customer experience. While execution is the primary focus, this role has the opportunity to contribute to and grow into greater ownership of event optimization and strategy over time.
Key Responsibilities Events & Tradeshow Execution- Own end-to-end planning and execution of Thermo Safe’s tradeshow and event program
- Manage event registrations, contracts, invoicing, and payment processing
- Coordinate logistics including booth space, vendors, shipping, and returns
- Maintain event calendars, timelines, checklists, and documentation
- Partner cross-functionally to ensure teams are prepared and aligned
- Support post-event reconciliation, asset return, and continuous improvement
- Manage marketing-related memberships, subscriptions, and renewals
- Process payments and support expense tracking in coordination with finance
- Maintain and manage marketing inventory, including booths, samples, and branded materials
- Work confidently within marketing, human resources, and procurement systems to support workflows and approvals
- Ensure data accuracy, documentation, and operational consistency
- Support operational aspects of the Thermo Safe brand that interface directly with customers, internal and external
- Ensure customer-facing materials and experiences meet brand standards
- Identify risks or gaps that could impact brand integrity or customer perception
- Own the execution of marketing and communications deliverables based on organizational needs
- Coordinate and distribute internal communications (announcements, updates, event communications)
- Support external-facing communications such as emails, event messaging, and customer updates
- Ensure communications are accurate, timely, and aligned with brand standards
- Partner with marketing and functional leaders to ensure messaging is clear and well-executed
- Exceptionally detail-oriented with an eagle eye for accuracy
- Highly organized and comfortable managing multiple work streams

This is a hybrid position with in-office attendance at our Corporate Office location in Arlington Heights, IL
.
- 2 to 4 years of experience preferred in marketing operations, events, coordination, or a related role
- Experience managing logistics, vendors, inventory, or payments is ideal
- Comfort working within CRM, marketing, or procurement systems and learning new tools quickly
- Strong working knowledge of Microsoft Office tools, including PowerPoint, Excel, and Outlook
- Comfortable creating and updating presentations, trackers, budgets, and timelines
- Able to organize, analyze, and maintain data accurately in spreadsheets
- Strong organizational, communication, and follow-through skills
- A mindset rooted in ownership, accountability, and continuous improvement
Compensation: The annual base salary range for this role is from $84,640 to $95,220.
