Building Services Facilities Coordinator

The Building Services Facility Coordinator I will be responsible operational evaluations, performance tracking, process improvement, quality assurance, building coordination and communication and resource management. The position directly supports departmental goals by ensuring that custodial and building maintenance teams deliver services that align with expectations. The position plays a key role in ensuring operational reliability of building systems and equipment and making data informed decision making within building service facilities operations.
Serving as a coordinator between Building Services and University of Georgia Office of University Architects project managers for new construction and renovation projects for operational readiness.
- High school diploma or equivalent and 2 years of related experience
- Strong understanding of custodial operations, cleaning standards, maintenance best practices and coordinating.
- Proficiency in Microsoft Excel, Power BI, or other data analysis and visualization tools.
- Excellent organizational, analytical, and written communication skills.
- Ability to evaluate operational data and develop recommendations based on trends.
- Strong problem-solving skills with attention to detail and accuracy.
- Ability to collaborate effectively with managers, supervisors, support staff and other departments across campus.
- Knowledge of preventive maintenance planning and asset management systems preferred.
- Work is performed in both office and field settings.
- Walk through multiple buildings and across campus for inspections.
- Occasionally lift up to 25 pounds and operate or assess custodial equipment.
- May require early morning, evening, or weekend work for operational evaluations.
- Coordinate and maintain an accurate inventory of all facility, custodial, and maintenance equipment.
- Schedule and oversee routine inspections to ensure equipment is safe, functional, and compliant with operational standards.
- Track equipment condition, service history, and lifecycle to support effective planning and budgeting.
- Coordinate preventive maintenance and repairs with internal teams and external vendors to minimize downtime.
- Monitor Building Services submitted O&M maintenance work orders to ensure timely completion and quality outcomes.
- Identify equipment performance issues and recommend corrective actions, upgrades, or replacements as needed.
- Support procurement efforts by providing data-driven recommendations for equipment purchases and contracts.
- Coordinate with Building Services Training Department to ensure proper storage, usage, and handling of equipment to prolong lifespan and maintain workplace safety.
- Maintain documentation related to equipment maintenance, warranties, and compliance requirements.
- Conduct and monitor service level building custodial inspection reviews
- Verify facility inspections to identify maintenance, cleanliness, safety and repair needs.
- Coordinate work orders for corrective and preventive maintenance, ensuring timely completion and follow-ups
- Track the status of facilities, custodial equipment, and maintenance work orders to ensure operational readiness and minimize downtime.
- Maintain records of inspections, work performed, and service issues.
- Support development and tracking of key performance indicators (KPIs) including equipment uptime, staffing utilization, work order completion rates, and service quality trends.
- Collaborate with team leads and managers to improve staff performance through better equipment care and operational best practices.
- Provide data-based recommendations for process and scheduling improvements.
- Participate in facilities projects, audits, or initiatives supporting the strategic goals of Building Services and Facilities Management Division.
- Serve as a liaison with University of Georgia Office of University Architects for new construction and renovation projects.
- Coordinate and monitor building service readiness prior to occupancy ensuring required building services supplies and equipment and materials are identified, ordered and secured.
