The Executive Assistant provides high-level administrative, organizational, and strategic support to senior leadership in Public Health Sciences Institute ( PHSI ). This role requires discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a key liaison between the executive, internal teams, and external stakeholders, ensuring efficient operations, clear communication, and timely execution of priorities.
Required Qualifications- Minimum of 3–5 years of experience providing executive-level or senior administrative support
- Demonstrated experience supporting senior leadership in a complex organization
- Experience handling confidential and sensitive information
- Preferred: experience in higher education, nonprofit, or public-sector environments

- Serve as the primary administrative liaison with internal departments and external vendors, including Purchasing, Business Office, Information Technology, Facilities/Physical Plant, Records and Registration, travel agencies, hotels, restaurants, and office suppliers, to coordinate services, obtain quotes, initiate vendor setup, and resolve operational needs.
- Coordinate domestic travel and logistics for staff and students, including transportation, lodging, and reimbursements, and manage room scheduling, facilities access, and catering for departmental meetings, events, conferences, and programs involving campus and external visitors.
- Manage procurement and requisition processes for supplies, equipment, travel, and services; track purchase orders; reconcile invoices; process budget transfers; and maintain accurate financial records across multiple program budgets using Excel and institutional systems such as Banner.
- Create, maintain, and safeguard comprehensive electronic and physical filing systems, including student records, contracts, grant proposals, award notifications, budget documentation, surveys, correspondence, and compliance materials, ensuring confidentiality and adherence to institutional and federal guidelines.
- Oversee front-office operations by maintaining a professional and welcoming environment; greet and assist students, faculty, staff, and visitors; answer and route incoming calls; and respond to general inquiries with professionalism and discretion.

Support departmental communications by drafting correspondence, agendas, minutes, reports, presentations, and other materials; maintaining departmental webpages and online presence; and assisting staff with updates and digital tools as needed. - Coordinate and support projects, meetings, trainings, workshops, and events by preparing materials, tracking action items, compiling data from multiple sources, and documenting outcomes and compliance requirements.
- Supervise and support work-study and student employees, including scheduling, task assignments, timesheet processing, and preparation of required reports.
- Manage and monitor online systems used for program operations and reporting, including Give Pulse and Bonner/Weber, to track student participation, community engagement, and service hours.
- Participate in meetings and trainings as required to support departmental operations, record minutes, and ensure effective communication and follow-through on assigned responsibilities.
