Responsibilities
- Greet visitors and refer them to appropriate staff members using proper office etiquette.
- Answer visitor’s questions and concerns professionally and courteously.
- Answer phone, route calls, and take messages.
- Screen calls and visitors to control interruptions.
- Order and maintain office supplies.
- Maintain meeting schedule of conference room and library.
- Maintain visitor logs.
- Ship office packages via UPS/Fed Ex/Airborne/USPS.
- Sign for and distribute UPS/Fed Ex/Airborne packages.
- Research, price, purchase, and monitor inventory of office equipment and supplies.
- Perform general clerical duties including but not limited to photocopying, faxing, mailing, and filing.
- Schedule and coordinate meetings and conference calls.
- Arrange amenities for meetings and conferences as needed.
- Maintain appearance of the lobby, front desk, conference room, and breakroom areas.
- Participate in the Morale Committee and employee social functions.
- Arrange monthly birthday/anniversary celebrations.
- Ability to work with minimal supervision.
- Other duties as assigned.
- College degree preferred, but not required.
- A minimum of 2 years administrative/reception or customer service experience is preferred.
- Must possess excellent verbal and written communication skills.
- Exhibit exceptional interpersonal relationships with employees, peers, and customers.
- Ability to remain at assigned workstation for extended periods of time.
- Candidate must have strong emphases on organization and communication.
- Ability to multitask on a daily basis.
- Professional dress is required.
- Deftly navigate through Quality Management System –CQ.
- Intermediate Microsoft Office skills:
Outlook, Excel, PowerPoint. - Ability to maintain and track budget/spending trends.
- Experience with warehouse or supply chain environments is a plus.
- Advanced public speaking and presentation skills.
- Excellent verbal and written communication skills.
- Clear and professional diction in English.
- Must be able to successfully pass all preliminary employment requirements (i.e., background check and drug screen).
- Must have a valid driver's license.
- Work is light to medium in nature with frequent walking to perform assigned tasks.
- Occasional lifting of 25–50 lbs. is required.
- Activities occur both inside and outside.
- Hazardous conditions may exist, such as proximity to moving mechanical parts.
- Equipment:
Desktop computer, fax machine, copier, desk phone, and cell phone. - Systems: CQ, MS Outlook, MS Excel, MS PowerPoint and MS Word.
