Job Description
The Administrative Assistant - Level 3 will provide high‑level administrative and clerical support to management and the Risk Management team. This role is responsible for invoice processing, basic bookkeeping, documentation support, and coordination of administrative tasks across departments. The ideal candidate is detail‑oriented, highly organized, and comfortable working with financial and insurance‑related documentation.
Key Responsibilities- Provide general clerical and administrative support, including invoice processing and basic bookkeeping
- Process invoices and payment requests, including transactions within SAP
- Support Directors, Officers, and management with administrative tasks
- Assist the Risk Management team with daily operations, including:
- Certificate of Insurance (COI) processing
- Responding to calls and emails sent to general risk lines
- Opening, distributing, and filing incoming mail
- Issuing monthly and quarterly invoices
- Assisting with audit preparation activities
- Supporting the administration of insurance claims
- Maintaining and updating the monthly HR contact list
- Collaborate with internal teams as needed and perform additional tasks as assigned

- Prior experience providing administrative support to senior leadership (Directors and/or Officers)
- Associate’s Degree or equivalent professional experience
- Strong proficiency in Microsoft Office, including Excel, PowerPoint, and Access
- Experience with invoice processing; SAP experience required
- Excellent written and verbal communication skills
- Strong organizational skills with high attention to detail
