Position Overview
The Development Assistant provides administrative and operational support to the Development team and administrative offices to help advance Agape's fundraising and donor engagement efforts. This role is responsible for maintaining accurate donor records, supporting fundraising campaigns and events, assisting with donor communications, and ensuring high-quality stewardship of donors and partners. This position is ideal for a highly organized, detail-oriented individual who is interested in building a career in nonprofit development and philanthropy.
Key Responsibilities Donor & Database Management- Maintain accurate donor records in the organization's donor database, Raiser's Edge.
- Process and acknowledge donations in a timely and professional manner.
- Generate donor reports, mailing lists, and basic analytics as needed.
- Ensure data integrity, confidentiality, and compliance with privacy policies.
- Provide day-to-day administrative support to the Development team.
- Manage calendars, meeting materials, and internal documentation.
- Prepare correspondence, donor letters, and acknowledgment materials.
- Maintain organized digital and physical filing systems.
- Assist with planning and execution of fundraising events and campaigns.
- Support logistics such as registration, tracking attendance, and follow-up communications.
- Coordinate with vendors, volunteers, and internal staff as needed.
- Help prepare event materials, sponsorship packets, and donor recognition items.
- Support donor engagement activities and stewardship initiatives.
- Assist with thank-you calls, emails, and personalized communications.
- Help track donor interactions and follow-up actions.
- Provide excellent customer service to donors, partners, and community members.
- Screen, greet and assist visitors, parents, students, and staff in a friendly and professional manner.
- Monitor and control access to the premises, ensuring all visitors sign in and out.
- Verify visitor identification and purpose of visit, issuing visitor badges as needed.
- Maintain visitor log and report any suspicious activity to program management and authorities as needed.
- Answer and direct phone calls, taking and distributing messages as necessary.
- Manage incoming and outgoing mail and deliveries.
- Ensure the reception area is clean and organized. Assist in the implementation of emergency procedures and protocols.
- Act as a point of contact during emergencies, providing clear and accurate information to emergency responders and administration.
- Provide general administrative support to CEO & COO as well as other administrative staff periodically, including scheduling meetings, managing calendars, and organizing files.
- Handle incoming and outgoing mail, including sorting, distributing, and preparing correspondence.
- Assist with organizing and setting up meeting spaces, including arranging technology and materials.
