Job Summary

This position provides administrative support to the division of Rheumatology faculty, the Business Manager and fellows. It serves as the fellowship coordinator for Rheumatology, the grant coordinator for Rheumatology Research, and supports physicians and fellows with publications and webpage management.

Responsibilities
  • Administrative: Support Division Chief and Rheumatology faculty; manage calendars, correspondence, evaluations, recruitment assistance; answer phones; create PowerPoint presentations; direct visitors; prepare/submit curriculum inventory and observership paperwork; coordinate resident and student rotations; manage travel coordination, clinic cancellation paperwork (AU and GCC); manage Qgenda call schedule; assist with OPPE management and PACT faculty evaluations.
  • Grant Coordinator: Coordinate grant submission (Pre‑Award) with Business Manager and faculty; monitor grant funding and oversight; handle R01, R21, KO8, NIH, DOD grants submissions.
  • Post‑Award: Monitor grant disbursement with Business Manager; arrange CLUB meetings, travel for ASBMR, NIH, TBN; coordinate CLUB activities; arrange Dept of Defense grant meetings with CTO office and PI; data analyst assistance.
  • Fellowship Coordinator: Manage interview schedules for incoming Rheumatology applicants; pre‑screen ERAS applicants; handle interview invitations and scheduling; coordinate with Program Director for Match List; respond to inquiries; onboarding of new fellows; maintain duty hour records for Well Star & VA; manage ACGME re‑accreditation records; respond to verification requests from hospitals, licensing boards; plan events and graduation, conference scheduling for faculty speakers.
  • Publications: Assist faculty and fellows with 12–15 publications per year; manage End Note applications.
  • Webpage: Manage Rheumatology department webpages.
  • Other: Perform any other job‑related duties as assigned.
Required Qualifications
  • Associate’s degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience.
  • OR
  • High school diploma/GED or equivalent and seven years of progressively responsible administrative support experience.
Knowledge, Skills & Abilities
  • Maintain confidentiality.
  • Excellent interpersonal, verbal, and written communication skills.
  • Detail‑oriented with strong prioritization and organizational skills.
  • Proficient in Microsoft Office and related computer software/database applications.
Shift, Salary & Benefits

Shift: Days, Monday–Friday.

Pay Band: B5 – $17.88 to $21.92 per hour (commensurate with qualifications).

Salary to be commensurate with qualifications within the established range (generally minimum‑midpoint).

Recruitment Period: 7/25/25 – Until Filled.

All selected candidates must pass a Background Check prior to start.
