Serve as the mission control for the candidate journey within a high-growth, top-tier technology platform. In this role, you are the operational backbone of the talent acquisition team, ensuring a world-class experience for every candidate and hiring manager. Your goal is to navigate high-velocity hiring cycles with precision, managing the logistics that allow a global team to scale effectively.
The RoleThis position is far more than traditional scheduling; it is a high-impact logistics and coordination mandate.
- High-Volume Coordination:
Manage complex interview loops across multiple time zones with zero loss in accuracy. - Executive Liaison:
Partner with leadership offices to navigate C-suite schedules and secure availability for high-level assessments. - Travel Concierge:
Act as the primary point of contact for candidate travel, booking flights and accommodations while managing expense reimbursements. - Real-Time Problem Solving:
Act as the central hub for live interview days, pivoting quickly to resolve technical issues or last-minute schedule shifts. - Process Optimization:
Identify bottlenecks in the candidate experience and suggest improvements for Applicant Tracking System (ATS) workflows.
- Experience:
3+ years in a coordination, administrative, or operations-heavy role. - Scheduling Mastery:
Proven ability to manage high-volume scheduling requests and complex, overlapping calendars. - Technical Proficiency:
Strong expertise in Google Workspace (Calendar, Docs, Sheets). - Communication:
Exceptional written and verbal skills, with the ability to navigate conversations ranging from entry-level candidates to C-suite executives. - Location:
Candidates must be based in the United States.
- Specialized
Experience:
Previous background in Recruiting or HR coordination. - Systems Knowledge:
Familiarity with Workday or similar enterprise-grade Applicant Tracking Systems. - Logistics Expertise:
Experience booking corporate travel and managing vendor relationships for accommodations. - Industry Background:
Experience working within a high-growth startup or fast-paced technology environment. - Agility:
You remain calm and professional in fast-moving environments and can pivot instantly when challenges arise. - Discretion:
You have experience handling sensitive information and interacting with executive-level offices with the utmost confidentiality. - Ownership Mindset:
You take pride in being the primary advocate for the candidate, ensuring they feel welcomed and informed at every stage. - Detail-Oriented:
You have an eagle eye for logistics, ensuring no detail in a candidate's itinerary or an executive's calendar is overlooked.
