Role description:
The Administrative Coordinator:
In-Kind Donations role is critical in identifying organizational needs that will serve the needs of our staff and clients.
- Respond to incoming donor inquiries (contact forms, voice messages, and email) in a timely manner (standard: within 72 hours)
- Coordinate and schedule donation drop-offs, pick-ups and community donation drive support
- Provides seamless communication and handoff of donors and volunteers to other members of the receiving department as needed
- Manages, supports and leads volunteer experiences related to in-kind donation processing that supports campus needs serving.
- Oversees and coordinates In-Kind donation calendar for donations, daily operational needs and tracking deliverables.
- Coordinates transportation scheduling with campus staff for client appointments and essential services.
- Utilize CRM software effectively to track donor interactions, inventory levels and program data.
- Maintain accurate records of donations, volunteer activities and client information.
- Generate reports for management to support decision making and program evaluation.
- Develop and implement processes within CRM to improve data collection and reporting accuracy.
- Provide training and support to staff and volunteers on CRM use and best practices.
- Responsible for creating and providing accurate reporting on incoming donations, donation distribution, and inventory.
- Collaborate with IKD Partnerships Manager for inventory management, including coordination with campus staff to maintain accurate records, conduct regular inventory audits, maintain organized storage areas, manage organization, cleanliness, processes and inventory of warehouse space.
- Builds a support team of volunteers to assist with job responsibilities.
- Occasionally serve as volunteer host to support team during heavy volunteer seasons.
- Occasionally serves as a driver for client transportation needs.
- Support large volunteer events (e.g., 5K Race, Fall Fest).
- Strong computer literacy in MS Office with concentration in Excel and PowerPoint.
- Experience working in a volunteer management system, Volunteer Hub or similar, preferred.
- Strong written and oral communication skills with strong attention to detail.
- Self‑motivation and ability to work collaboratively with a team.
- Strong project management skills and ability to organize, multitask and prioritize a heavy workload.
- Valid Driver’s License.
Job Requirements
- Must have the ability to remain in a stationary position (standing, sitting and/or walking).
- Must have the ability to operate a computer and other office equipment.
- Must be able to occasionally lift up to 30 lbs.
