Virtual Executive Administrative Assistant – Contract/Remote

VaVa Virtual Assistants is a remote company based in Atlanta, Georgia. We help businesses thrive by connecting them with virtual professionals for specialized support across various industries. Though we’re a virtual team, we foster relationships through daily conversations, project collaboration, and all‑company virtual gatherings.

We are looking for a skilled Executive Administrative Assistant capable of managing client accounts and relationships. You will run remote back‑office support efficiently to ensure client satisfaction. To thrive you must be self‑motivated, disciplined, and demonstrate expertise that qualifies you as a trusted advisor to our clients.

  • Lead and manage client accounts and interactions
  • Understand and anticipate client needs while communicating progress and updates

Operational Responsibilities
  • Provide high‑quality administrative support to clients and collaborate with team members
  • Effectively manage tasks, projects, and deadlines to meet client expectations
  • Maintain open communication with clients, external stakeholders, and the VaVa team
  • Keep sensitive and confidential information private and secure at all times
Responsibilities
  • Manage email by prioritizing, filtering, and responding promptly
  • Handle complex schedules with proactive calendar coordination and reminders
  • Resolve complex issues in a timely and professional manner
  • Plan and coordinate details for meetings, conferences, or events
  • Prepare presentations, materials, and conduct project research as needed
  • Maintain updated CRMs, analyze trends, and provide insights for decision making
  • Collaborate with others to accomplish tasks and complete projects
  • Draft or edit all forms of correspondence with strong communication skills
  • Use discretion when handling sensitive and confidential information
  • Be familiar with scheduling, project management, and CRM tools and software
  • Perform other administrative support tasks as requested
General Qualifications
  • Must reside and be authorized to work in the United States
  • At least 3 years of experience in the outlined roles
  • At least 3 years of experience in a remote, full‑time virtual role
  • Available at least 20 hours per week for high‑touch (daily) clients
Technical Qualifications
  • Knowledge of scheduling, project management, and CRM technologies
  • Experience coordinating large‑scale webinars, including breakout rooms and technical troubleshooting
  • Experience arranging travel and handling last‑minute changes
  • Experience managing high‑volume email inboxes and calendars
  • Comfortable with Google Suite, Microsoft Office, Calendly, Slack, and project‑management tools
