We are looking for a skilled Executive Administrative Assistant capable of managing client accounts and relationships. You will run remote back‑office support efficiently to ensure client satisfaction. - Lead and manage client accounts and interactions
- Understand and anticipate client needs while communicating progress and updates
- Address challenges and problem‑solve without compromising quality of service
- Demonstrate commitment to excellence in high‑quality work and attention to detail
- Adhere to engagement hours and adjust hours as needed for service
- Provide high‑quality administrative support to clients and collaborate with team members
- Effectively manage tasks, projects, and deadlines to meet client expectations
- Maintain open communication with clients, external stakeholders, and the VaVa team
- Keep sensitive and confidential information private and secure at all times
- Manage email by prioritizing, filtering, and responding promptly
- Handle complex schedules with proactive calendar coordination and reminders
- Resolve complex issues in a timely and professional manner
- Plan and coordinate details for meetings, conferences, or events
- Prepare presentations, materials, and conduct project research as needed
- Maintain updated CRMs, analyze trends, and provide insights for decision making
- Collaborate with others to accomplish tasks and complete projects
- Draft or edit all forms of correspondence with strong communication skills
- Use discretion when handling sensitive and confidential information
- Be familiar with scheduling, project management, and CRM tools and software
- Perform other administrative support tasks as requested
- Must reside and be authorized to work in the United States
- At least 3 years of experience in the outlined roles
- At least 3 years of experience in a remote, full‑time virtual role
- Available at least 20 hours per week for high‑touch (daily) clients
- Knowledge of scheduling, project management, and CRM technologies
- Experience coordinating large‑scale webinars, including breakout rooms and technical troubleshooting
- Experience arranging travel and handling last‑minute changes
- Experience managing high‑volume email inboxes and calendars
- Comfortable with Google Suite, Microsoft Office, Calendly, Slack, and project‑management tools
