Position: ADMINISTRATIVE SPECIALIST

UNCLASSIFIED POSITION IN THE OFFICE OF THE COUNTY ATTORNEY

100% ONSITE, MONDAY through FRIDAY

Minimum Qualifications

High School diploma or GED required: supplemented by three (3) years of clerical, administrative support, secretarial, customer service, and/or record management experience and/or training; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Experience with AMS finance system is strongly desired.

Specific License or Certification Required

May require possession and maintenance of a valid State of Georgia Notary Public certification.

Specific Knowledge, Skills, or Abilities

Must be able to demonstrate proficiency in the performance of the essential functions and learn, comprehend, and apply all county or departmental policies, practices, and procedures necessary to function effectively in the position.

Examination

The examination will consist of an evaluation of education and experience, accomplished by an analysis of the application. The application must document that the applicant possesses the minimum knowledge, skills, education, and experience listed to be rated as qualified. If selected, an official, accredited college transcript is required, at the time of employment, for all degrees/course work used to qualify for this position.

Purpose of Classification

The purpose of this classification is to provide specialized administrative support for division or department. While the essential functions are similar to those of an Administrative Coordinator, Administrative Specialists typically focus more narrowly on one or more aspects of the work. Work often requires a knowledge of departmental operations and procedures, but can be learned by a modest amount of time in the job.

  • Serve as liaison between the assigned department and other departments/divisions, staff members, County officials, the public, community leaders, outside agencies, and other individuals or organizations for the distribution and receipt of routine information
  • Serve as departmental human resources liaison; prepare new employee paperwork; process documentation pertaining to personnel/payroll functions; review timesheets for accuracy and research discrepancies; track sick leave and vacation time; enter payroll data into computer; prepare personnel change forms; maintain attendance records and confidential personnel/payroll files
  • Provide administrative/secretarial support for management and/or staff of assigned department/division, including relieving management staff of routine administrative tasks; screen telephone calls, mail, e‑mail, and other communications; record and transcribe dictation; type, compose, edit, or proofread documentation; maintain calendars and schedule meetings, interviews, and other activities; coordinate travel arrangements, accommodations, conference registrations, and related plans for department staff
