Position: Executive Assistant (Hybrid)

At Bricz the Executive Assistant provides high-level administrative support to one or more executives, managing their schedules, communications, and organizational tasks. They handle a wide range of responsibilities, including calendar management, travel arrangements, meeting coordination, and correspondence. Their work often involves acting as a point of contact for the executive and other stakeholders.

Key Responsibilities
  • Administrative Support:
    Managing calendars, scheduling meetings, and making travel arrangements, establishing senior leadership team meetings and All Hands meetings. Acting on selected administrative tasks as required to support the leadership team, coordination of meals for company events or meetings.
  • Communication:
    Managing email and phone correspondence, screening calls, and distributing information. Collaborating with internal committees for communication, company events, or great place to work process definition and evolution.
  • Creative Support:
    Managing the company accounts for social media (ex: Linked In), collaborating with website support partners for update and maintenance, managing trade show booth logistics and owning relationships with trade show partners. Supporting marketing team efforts around presentations, or other company collateral.
  • Organizational Tasks:
    Organizing documents, maintaining records, and preparing presentations, supporting documentation repository for health, benefits or other company documentation.
  • Project Management:
    Assisting with project planning and implementation for CEO directed special internal projects, including tracking progress and deadlines with accountability and ownership.
  • Other Duties:
    Overseeing managing office supplies, office management and taking meeting minutes from senior leadership team meetings.
Skills
  • Strong organizational skills are essential for managing multiple tasks and keeping track of deadlines.
  • Excellent communication skills are crucial for interacting with executives and other stakeholders.
  • Proficiency in office software is required for creating documents, presentations, and managing calendars.
  • Time management skills are important for prioritizing tasks and meeting deadlines.
  • Interpersonal skills: are necessary for working with diverse individuals and building a rapport.
  • Problem-solving skills: are helpful for addressing unexpected issues and finding solutions.
