Office Administrator/ Coordinator

OfficeCoordinator
Provide general support to the local office. Essential functions include:
- Provide pleasant and professional customer service to all office personnel and guests.
- Prepare mail and all USPS/Fed Ex/UPS packages, sorting and distributing incoming mail.
- Assist with all aspects of document reproduction and processing: copying, scanning, date stamping, document binding and faxing.
- Perform minor repairs such as clearing paper jams, changing toner/ink cartridges, and emptying equipment waste receptacles.
- Refill paper daily and as needed; schedule service calls as necessary.
- Prepare conference rooms for meetings and set up and clean up afterward.
- Clean the kitchen and related equipment on a regular basis, including filling, running, and emptying dishwashers.
- Move boxes and heavy items, including assisting with furniture moves.
- Conduct a daily walk‑through of the office space to identify blown light bulbs, repairs needed, or general cleaning issues and report these to the building liaison.
- Inventory and send files to off‑site storage facilities.
- Organize and clean the file workroom.
- Provide additional administrative assistance as appropriate and requested.
- One to four years of experience in a professional services environment.
- Knowledge of office equipment including telephones, copy/scan/fax equipment, computers, Microsoft Office 365, Word, and Outlook; basic keyboarding skills.
- Experience with Excel and PowerPoint is a plus.
- Must be able to lift 25–70 pounds properly and move furniture or boxes up to 8 feet high.
- Ability to take initiative, be reliable, professional, team oriented, pay attention to detail, and multi‑task.
- Prior law‑firm experience preferred.
- Good listening skills to determine customer needs.
- Ability to use a hand cart.
High School Diploma or equivalent.
