Facility Operations Coordinator Position Summary

The Facility Operations Coordinator provides administrative coordination and operational support to the Facility Operations team at the Georgia World Congress Center Authority (GWCCA). Reporting to the Campus Operations Manager, this role supports the efficient operation of facility operations activities by coordinating service requests, maintaining departmental records, preparing reports, and assisting with day-to-day administrative functions.

Essential Duties and Responsibilities
  • Under the direction of the Campus Operations Manager, provide administrative coordination and support to the Facility Operations team to ensure facilities are maintained and operated efficiently.
  • Support Facility Operations managers in ensuring consistent onboarding processes within the Campus Operations department.
  • Coordinate interview schedules with hiring managers.
  • Coordinate required training enrollment and departmental orientation schedules.
  • Generate reports and dashboards reflecting department financials, employee schedules, room inspection operations, and customer surveys as requested by management.
  • Support and coordinate operational quality programs, including pre-event room readiness, day-of-event refreshes, and post-event strike and recovery.
  • Administer quality assurance checks to verify spaces meet approved layouts and service standards, maintain documentation, tracking systems, and communication across Set-Up, Housekeeping, and other supporting departments.
  • Monitor event schedules to plan and adjust refresh and recovery activities, ensure timely execution, identify deficiencies, and support continuous improvement of operational processes to maintain client-ready facilities.
  • Prepare documents, reports, presentations, and correspondence using various software systems and office technology.
  • Assist Facility Operations team members with submitting and tracking IT Service Desk tickets when necessary.
  • Manage department uniform distribution and inventory for team members. Process invoices and track expenses against budget.
  • Initiate and enter purchasing requisitions in procurement system, track approval workflows, and coordinate with purchasing and/or vendors to ensure timely order fulfillment, accurate documentation, and completion of purchases in accordance with established procurement procedures.
  • Order, track, and maintain asset inventory of departmental supplies and materials.
  • Maintain organized records, files, and documentation in accordance with departmental procedures.
  • Support departmental productivity by coordinating administrative activities and assisting supervisors and managers as needed. Coordinate administrative communication between Facility Operations teams and other campus departments to support event readiness.
  • Participate in departmental meetings and Georgia World Congress Center Authority training programs as required.
  • Maintain a professional image that reflects the philosophy of the Georgia World Congress Center Authority, with a strong emphasis on providing exceptional customer service.
  • Perform additional duties, special projects, and responsibilities as assigned.
  • Candidates under final consideration will be required to undergo a criminal history evaluation and drug screening prior to employment.
