Job Summary

Under the leadership of the Director of Residence Life and Student Engagement, the Residence Life Coordinator is a full-time, 12-month, live-in professional staff member who plays an integral role in the overall administration and operation of the residential community. This position is directly supervised by the Assistant Director of Residence Life. This position combines responsibilities in residential education, student support, community development, and housing operations, with a strong emphasis on occupancy management, housing assignments, customer service, and residential software administration.

The Residence Life Coordinator is responsible for fostering a safe, inclusive, and student-centered residential environment that supports students' academic success, personal growth, and sense of belonging. The position directly supervises Community Assistants, Resident Assistants, and student office staff while managing housing processes, including assignments, occupancy management, billing coordination, room changes, waitlists, and residential database management through the housing software system (i.e., eRezLife).

This position requires strong organizational skills, attention to detail, customer service, crisis response, administrative management, and the ability to balance student development with operational effectiveness. This position requires composure and reliability in a dynamic environment, contributes to an inclusive workplace, and engages in continuous learning and improvement.

Essential Duties and Responsibilities

  • Foster a welcoming, inclusive, and supportive residential community conducive to student learning and success.
  • Supervise, train, develop, mentor, and evaluate Community and Resident Assistants and student office staff.
  • Conduct regular one-on-one meetings and staff meetings with student staff members.
  • Support the planning and implementation of educational, social, and community-building programs within the residence halls.
  • Develop relationships with residents and provide support, referrals, and intervention as needed.
  • Assist students in navigating personal, academic, and social challenges by connecting them to campus resources.
  • Promote and uphold university and housing policies and procedures.
  • Maintain timely and accurate documentation related to incidents, student conduct, and student support concerns.
  • Oversee roommate conflict mediation and facilitate room change processes.
  • Utilize the university housing software system (i.e., ERez) to manage housing assignments, occupancy, room changes, waitlists, and student records.
  • Assist with the development, testing, and management of the housing application and room assignment process from application through check-in and check-out.
  • Coordinate housing selection and room assignment processes for incoming and returning students.
  • Manage housing waitlists and communicate with students regarding housing availability and assignment status.
  • Verify student eligibility for on-campus housing and communicate housing-related decisions and processes.
  • Assist with housing occupancy reporting, reconciliation, and database management.
  • Coordinate with the University Bursar regarding housing charges, billing adjustments, cancellations, and prorated housing fees.
  • Maintain accurate occupancy and room inventory records.
  • Train professional and student staff on the use of housing management software and operational procedures.
  • Serve as a primary contact for students, families, and campus partners regarding housing assignments, billing, and residential processes through phone, email, and in-person communication.
  • Coordinate residence hall opening, closing, and transition processes throughout the academic year.
  • Conduct regular health, safety, and facility inspections within assigned residential areas.
  • Maintain collaborative relationships with facilities, custodial staff, campus police, and other campus partners.
  • Monitor occupancy verification and room condition reports.
  • Assist with inventory management for storage, common areas, keys, and residential spaces.
  • Maintain regular office hours and participate in departmental meetings, committees, and professional development opportunities.
  • Respond to student concerns and organizational issues while exercising sound judgment and professionalism.
  • Maintain accurate records, assessments, and reports related to programs and student organizations.
  • Participate in the professional staff on-call rotation, providing crisis response and student support.
  • This is a live-on-campus position.
  • Evening, weekend, and holiday work is required as part of the duty rotation.
  • Ability to climb stairs and access all residential facilities.
  • Occasional lifting and transporting of supplies or equipment up to 25 pounds.
