The Executive Assistant provides comprehensive administrative, operational, and project support to the Inspire Company Restaurant Leadership Team (ICRLT). This role is a critical partner in enabling the effectiveness, alignment, and efficiency of the leadership team. The position is responsible for coordinating priorities across leaders, facilitating seamless communication, and ensuring the successful execution of key meetings, initiatives, and business rhythms.
Leadership Team Support- Provide high‑level administrative support across the ICR Leadership Team (ICRLT)
- Manage complex, multi‑leader calendars
- Coordinate communications with discretion
- Enable alignment across leaders
- Plan and execute leadership meetings and offsites
- Coordinate agendas and materials
- Prepare pre‑read materials
- Track actions and follow‑ups
- Coordinate travel arrangements for leadership team members in alignment with company policy
- Prepare and submit expense reports accurately and timely
- Maintain office equipment and supplies; oversee updates to business cards and stationery
- Process and track vendor invoices; support department budget tracking in partnership with Finance and Procurement
- Manage jet tracking and related documentation for Finance and Tax/Audit requirements
- Maintain shared drives and document repositories to ensure materials are current, organized, and accessible
- Conduct research, prepare briefing documents, and summarize insights to support ICR strategic initiatives
- Track and report on key projects and priorities to ensure alignment with ICR goals
- Support preparation of leadership presentations and business review materials
- Coordinate department‑wide activities, celebrations, and offsites to foster team morale and cohesion
- Support internal communications and drive participation in culture‑building initiatives
- Help reinforce a collaborative, high‑performing leadership team environment
- Bachelor's Degree Preferred
- 5+ Years of Experience as an Executive Assistant
- Strong organizational and prioritization skills with the ability to manage complex, multi‑leader calendars and competing demands
- Excellent communication and interpersonal skills, with the ability to draft professional materials and handle confidential information with discretion
- Proven ability to plan and execute meetings, events, and projects, including preparing materials and tracking follow‑through
- Solid operational capability, including experience with travel coordination, expense reporting, vendor management, and budget or invoice tracking
- Strategic and proactive mindset, with the ability to anticipate needs, solve problems, and align work to leadership priorities
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook) and collaboration tools (e.g., Teams, SharePoint, Concur)
- Highly adaptable and self‑directed, with the ability to navigate change and continuously improve processes and team effectiveness
