About the Role
Provides executive-level administrative support for vice president/senior vice president roles.
Core Responsibilities- Maintain calendar, schedule appointments and work with the leader to manage time.
- Schedule meetings for the assigned leader, including reserving meeting rooms, ordering meals, developing agendas, inviting participants, maintaining minutes, greeting guests, and checking room accommodations such as audiovisual setup and catering needs.
- Maintain payroll reports reflecting assigned staff working, sick, vacation, and other times.
- Approve expense reports as assigned by the leader.
- Screen incoming phone calls and manage relationships with outside vendors and internal staff.
- Serve on special projects, committees, or act as manager or department representative.
- Prepare department and committee minutes/agenda and coordinate other meeting materials in a timely manner.
- Provide backup when other Executive Assistants are out or need assistance.
- Open, distribute, read/handle mail as requested or required.
- Assist leader with budget preparation/management, process all invoices and expense reports, and reconcile all financial transactions in approved format.
- Minimum of 4 years of administrative experience supporting vice president-level roles.
- Preferred:
Bachelor’s degree in Business, Healthcare, or related field. - High school diploma or equivalent.
- Demonstrated verbal and written communication, organizational, customer service, and interpersonal skills.
- Advanced computer skills including the full suite of Microsoft Office and other Windows-based applications.
- Experience scheduling multi-stakeholder meetings and coordinating meeting logistics, agendas, and minutes.
- Experience coordinating large-scale VP-level division and team meetings.
