Job Summary

The Admin Operations Coordinator will coordinate administrative and building operations support services within an assigned unit. Areas of involvement include financial records and reports, budget administration, administrative policies and procedures maintenance, and building support services. The position interacts with unit management and staff, vendors/contractors, and visitors, and advises unit management.

Responsibilities
  • Provide support in unit and/or project budget administration; maintain budget records and generate reports.
  • Process purchasing related records and transactions; maintain inventory records.
  • Coordinate building operations maintenance, including building access control.
  • Coordinate delivery, installation, and inter‑office movement of furniture and equipment.
  • Coordinate new employee intake process, including initiation of related documentation and data input.
  • Maintain unit administrative policies and procedures.
  • Hire, train, and supervise student employees.
  • Perform other job‑related duties as assigned.
Required Qualifications
  • High school diploma, GED certificate, or vocational school diploma.
  • Six years of job related experience.
Preferred Qualifications
  • 2‑4 years of experience with Concur, Workday, and OneUSG.
  • Monthly travel to Huntsville required.
  • Experience in high‑volume, deadline‑driven office setting.
  • Proficiency with Microsoft Office Suite and ability to learn new software.
  • Typing speed 40–60 WPM.
  • Experience booking travel arrangements and calendar management.
  • Experience scheduling meetings and events.
  • Experience taking minutes and creating presentations.
  • Excellent time management skills.
  • Ability to establish and maintain effective working relationships for high internal and external customer satisfaction.
  • Excellent written and verbal communication skills.
