Job Summary
Provide specialized administrative services within a campus unit, including organizing and preparing correspondence, reports, and other documentation; event management; records management; and related administrative activities. This position will interact on a consistent basis with unit management and staff, vendors, and office visitors.
Responsibilities- Originate and process correspondence, reports and other documentation.
- Compile, organize and analyze data for use in reports.
- Plan meetings and other events, including scheduling, reservations, and arrangements.
- Make travel arrangements for unit staff and management as directed.
- Maintain office supplies inventory.
- Develop and maintain databases and records management systems.
- Review and resolve routine administrative related questions and issues; provide input regarding new or revised unit administrative procedures.
- Provide training and ongoing work guidance to administrative staff members as required.
- Perform other duties as assigned.
- Collaborate with the Academic Program Manager II to support recruitment, admissions, orientation, registration, advisement, special events, degree audits, and graduation for MS and PhD students in the School of Interactive Computing.
- Prepare and send MS admission letters via mail merge.
- Support fall orientation for incoming MS and PhD students.
- Issue course permits and maintain student records.
- Manage student listservs and maintain online student resources.
- Provide logistical support for SIC events, including PhD Visit Day, PhD Review, MS Leadership Challenge Course, and others as needed.
- Order promotional items for MS and PhD programs.
- Coordinate the student GTA hiring process for fall and spring semesters.
- Maintain hiring spreadsheets and process tuition waivers for GTA/GRAs.
- Work with GT eSignature staff to create and route hiring forms via Docu Sign.
- Maintain records of all hires and audit them weekly using internal reports.
- Provide SSN letters and support to international students hired by SIC.
High school diploma, GED Certificate, or Vocational School Diploma.
Required ExperienceThree to four years of job‑related experience.
Preferred Qualifications- Five to seven years of job‑related experience.
- Bachelor's degree.
- Advanced skills in general office administration, including document processing and management, records management, event management, problem solving, and office organization.
- Proficiency with advanced office computer applications.
