Job Overview
Provides a wide range of administrative support to departmental leadership, promoting efficiency, consistency, and compliance with policies and procedures. Works under limited supervision with general instructions given on new assignments.
Responsibilities- Maintains calendar, schedules appointments, and collaborates with the leader to manage time.
- Types and edits correspondence, maintains files, reproduces documents, and disseminates departmental information.
- Answers telephone inquiries, screens incoming calls, and manages relationships with outside vendors and internal staff.
- Performs financial administration duties including reconciliation of cash activities, monthly spending transactions, expense report processing, and invoice submission.
- Prepares and disseminates department and committee minutes, agendas, and meeting materials; coordinates conference room scheduling and meetings setup.
- Acts as office administrator: orders and stocks supplies, maintains records, liaises with other departments/vendors, and performs quality management functions.
- Creates and edits documents using PowerPoint, Excel, and Word, ensuring adherence to Children’s style guidelines.
- Assists with the preparation, auditing, and monitoring of departmental/project budgets and related expenses.
- Supports human resources with employee transaction forms and records.
- Submits department contracts and coordinates the contract process.
- Ensures Payroll/TIME processing complies with Children’s policies.
- May serve on committees as a leader/department representative.
- Assists management with special departmental projects.
- Performs other department‑specific duties and assignments as appropriate.
- At least 2 years of administrative support experience in a professional office environment.
- High school diploma or equivalent; bachelor’s degree in business, healthcare, or related field preferred.
- Strong verbal and written communication, organizational, customer service, and interpersonal skills.
- Proficiency in Microsoft Office suite and other Windows‑based applications.
- Experience scheduling multi‑stakeholder meetings and coordinating meeting logistics, agendas, and minutes.
