Position: Event Coordinator II (IBB)

Job Summary

Coordinate arrangements for holding meetings, gatherings or other events on behalf of a campus unit or office. Responsible for scheduling and planning the event, reserving a location, arranging for support services and follow-up. Events range from small to large scale, are both internal and external facing and utilize unit based facilities and other locations, on and off campus. This position will interact on a consistent basis with:
Unit management and staff and event sponsors, vendors. This position typically will advise and counsel: event sponsors, vendors. This position will supervise: NA.

Responsibilities
  • Confer with event sponsors to determine scope and overall objectives associated with an event.
  • Based on client needs and facility availability determine resources required and prepare event schedule.
  • Make necessary facility reservations.
  • Arrange for any catering requirements, facility set‑up, parking, security, etc. May coordinate attendee travel arrangements.
  • Design and create promotional/publicizing materials (print, website, etc.).
  • Manage and track event budgets/costs, and maintain associated reports.
  • Conduct follow‑up to determine adequacy of services provided in support of event.
  • May be responsible for identifying prospective customers and generating revenue.
  • Perform other duties as assigned.
Required Qualifications

Educational Requirements: High school diploma, GED Certificate or Vocational School Diploma

Required Experience: Four to five years of job related experience

Qualifications:

Technical Diploma, Associate's Degree or two years college course work

  • Excellent customer service skills
  • Has an interest working in a higher education community
  • Excellent written and verbal communication skills
  • Self‑starter with the ability to work independently and with initiative, within Georgia Tech, University System of Georgia, state, and federal guidelines
  • Able to handle multiple priorities while meeting overlapping deadlines
  • Adept at working with all levels of external guests and internal/university stakeholders to include executive leadership, faculty, staff, and students
  • Team player with strong work ethic
  • Proficiency with MS Office, and experience in Adobe Creative Suite a plus, but not required
  • Bachelor's degree
  • Able to lift up to 30 lbs

Knowledge, Skills, & Abilities

This job requires working knowledge and skills in event management. This includes skills in customer service, organizing, planning and scheduling. Use of business related computer applications is required.
