The Professional/Individual Contributor Staff member is responsible for performing work responsibilities, building relationships, and sharing expertise and experience as he/she contributes to specific bodies of work, builds connections, and optimizes performance. The Professional Administrative Assistant to the Officer provides high quality administrative and operational support to a senior leader, enabling day to day effectiveness through strong organization, coordination, and communication. This role partners closely with the Officer and other administrative professionals to manage schedules, logistics, meetings, and information flow.
The Assistant supports a positive team culture by fostering connection, maintaining professionalism, and contributing to a collaborative and well run environment. This role requires sound judgment, attention to detail, and the ability to manage multiple priorities with consistency and care.
- Supporting team engagement and coordination activities
- Assisting with cross functional administrative efforts
- Providing administrative support for special projects as assigned
- Coordinating administrative responsibilities for multiple senior leader and Board level cross functional teams
- Partnering with Financial Services leaders and administrators to effectively manage schedules, communications and departmental responsibilities
- Provide day to day administrative support to an Officer, including calendar management, meeting coordination, and communication support
- Coordinate meetings and engagements by preparing agendas, gathering materials, capturing notes, and supporting follow up actions
- Assist with managing the Officer's schedule and logistics to ensure priorities are well organized and time is used effectively
- Coordinate travel planning and logistics, adhering to processes and proactively addressing changes as they arise
- Partner with other Administrative Assistants to support alignment, coordination, and coverage across teams
- Provide administrative and office support both virtually and in person, including note taking, spreadsheet and presentation creation, and basic meeting facilitation
- Support internal communications and information flow by organizing, formatting, and distributing materials as needed
- Assist with planning and executing team meetings, events, or gatherings that contribute to a positive culture and sense of community
- Maintain professionalism, confidentiality, and strong working relationships with leaders, peers, and partners across the organization
- Handle confidential information with discretion and professionalism
- Administrative or executive support experience
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Microsoft Teams, One Note, and Workday;
Ability to learn additional tools as needed - Strong attention to detail and follow through
- Ability to manage multiple tasks and shifting priorities
- Clear and professional written and verbal communication skills
- Ability to prepare department wide communication drafts
- Dependable execution with growing ability to anticipate needs
- Willingness to learn new tools, systems, and ways of working
- Finance executive support experience
- Demonstrated success managing multiple, competing urgent priorities with calm confidence
- Emotional intelligence to make and communicate hard decisions to affected stakeholders
- Preference for ambiguous, changing environments
- Ability to promote the Officer's responsibilities with clarity, despite uncertainty
- Experience to hold oneself accountable to accuracy and attention to detail
