About the Opportunity:

A leading national construction and infrastructure organization is seeking an Equipment Administrative Assistant to support its East Coast Equipment team. This position plays a critical role in ensuring the day‑to‑day administrative operations of the department run efficiently by managing documentation, purchase orders, vendor communications, invoicing, and equipment‑related reporting.

The position offers exposure to equipment operations, project administration, vendor management, accounting support, and cross‑functional collaboration while supporting multiple construction projects throughout the region.

Key Responsibilities:
  • Create and process purchase orders and project submittals
  • Collect, receive, review, and process timesheets, invoices, receipts, and supporting documentation
  • Organize and maintain both electronic and physical project files
  • Prepare recurring reports related to departmental metrics, project accounting, and equipment asset tracking
  • Track safety documentation, PPE records, and compliance‑related paperwork
  • Review vendor invoices to ensure accuracy and timely processing
  • Communicate with project managers, vendors, subcontractors, suppliers, and internal departments regarding documentation and project activities
  • Maintain organized records while ensuring deadlines are consistently met
  • Provide general administrative support to the Equipment Department and assist with additional projects as assigned
Qualifications:
  • 2‑3+ years of administrative support experience
  • Experience creating purchase orders and project submittals is required
  • Experience processing invoices, receipts, timesheets, and related documentation
  • Proficiency with Microsoft Word, Excel, Outlook, and Adobe Acrobat
  • Bachelor's degree preferred; equivalent professional experience will also be considered
  • Strong organizational, communication, and time management skills
  • High attention to detail with the ability to prioritize multiple deadlines
  • Ability to work independently while collaborating effectively with cross‑functional teams
Preferred Background:
  • Administrative experience within construction, manufacturing, industrial, engineering, or related industries
  • Experience supporting equipment, operations, project management, or field services teams
  • Exposure to project accounting, asset tracking, or construction documentation
  • Experience working with SharePoint, asset tracking software, or similar platforms is a plus
  • Bilingual English/Spanish is preferred but not required
  • Fully onsite position located in Atlanta, GA
  • Supports a regional Equipment Department with team members located across multiple states
