Part Time Office Manager

This is a regular full-time position.
Job SummaryThe Administrative Assistant performs general office duties in support of department staff and supervisors. This position performs clerical and administrative duties throughout the college, assisting students and visitors with general department information and direction.
Responsibilities- Manage daily activities of the SSS office including student check‑in, greeting students, contacting students for appointments, and supervising student workers; provide administrative support to the Project Director and clerical assistance to the SSS staff.
- Maintain the Blumen database and participant student files and generate reports, schedule tutoring appointments for participants; schedule educational and cultural enrichment events; oversee all event planning duties for workshops, including scheduling rooms, ordering supplies and food when needed, and distributing evaluations; input and maintain all program evaluation data.
- Maintain ledger of expenditures and reconcile budget monthly; handle routine office activities including greeting visitors, answering telephones, maintaining files, preparing correspondence and reports, and ordering office supplies.
- Prepare various departmental and institutional reports; supervise work‑study students; open and distribute mail as needed; log correspondence and various requests for service forms; maintain log of all checks received; maintain office calendar; compose, check, and proofread outgoing correspondence.
Associate's degree preferred. Minimum two years of experience in an academic environment or a related field supplemented by considerable secretarial experience in varied, complex office work; or an equivalent combination of training and experience. Individuals with a background similar to SSS participants are highly preferred.
Knowledge, Skills, & Abilities ABILITIES- Ability to maintain the office with minimum supervision.
- Ability to work closely with students, faculty, and staff to ensure that all office operations are handled efficiently and effectively.
- Requires the ability to operate a computer, copier, and other standard office equipment.
- Ability to work cooperatively and effectively with others.
- Proficiency in the use of Microsoft Office applications.
- Ability to be organized and handle multiple tasks.
- Ability to prepare and/or process purchase orders.
- Ability to use small office equipment, including copy machines or multi‑line telephone systems.
- Ability to use computers for data entry.
- Ability to use computers for word processing and/or accounting purposes.
- Extensive computer use in administrative areas with an emphasis on the BANNER student information system.
- Strong oral and written communication skills as well as good listening skill.
- Independent judgment based on knowledge gained through the performance of responsible secretarial duties.
