Office Administrator/ Coordinator
Summary/Objective
The Office/Administrative position is responsible for overall front office activities, including the reception area, mail, and facilities.

- Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.
- Applies customer payments, researches and solves payment discrepancies, and makes adjustments to accounts as needed.
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Submits Certificates of Insurance to ensure compliance.
- Performs filing and copying.
- Maintains office equipment, including copier, fax machine, etc. and orders supplies as needed.
- Participates as needed in special projects.

Work EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical DemandsWhile performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. This position requires the ability to occasionally lift office products and supplies, up to 50 pounds.

May work 20-40 hours per week, Monday through Friday.
TravelNo travel is expected for this position.
Education and Experience- At least two years of previous experience in fast-paced office management.
- Working knowledge of mail processes such as postage machine, Fed Ex and UPS.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.
Ability to speak, read and write English required.
Ability to speak, read or write Spanish or Polish preferred.
Required Math SkillsAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals.
Reasoning AbilityAbility to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer SkillsProficient in MS Office, Internet and Windows.
Certifications, Licenses, and RegistrationsDriver’s license preferred.
