Imagine Exhibitions, a pioneer in global traveling entertainment and immersive experiences, is seeking a full-time Operations Coordinator. We are looking for an organized, proactive, and detail-oriented individual who enjoys coordinating projects, communicating with clients and partners, and keeping operations running smoothly. You do not need to be a logistics expert—we are looking for someone with excellent organizational and communication skills who is eager to learn and grow within our business.
PositionScope
This position provides operational and administrative support for our global exhibition projects. You will serve as a key point of contact for customers, vendors, and partners across the United States while coordinating closely with our international team. The role focuses on communication, organization, tracking project information, and ensuring that day-to-day operations run efficiently.
Responsibilities- Serve as the primary daytime contact for US customers, vendors, and partners.
- Communicate with airlines, trucking companies, customs brokers, warehouses, and service providers.
- Collect, organize, and maintain accurate shipment and project information.
- Enter and maintain data in internal systems, spreadsheets, and project tracking tools.
- Coordinate pickups, deliveries, and operational schedules.
- Prepare quotations and operational documentation.
- Monitor project progress and proactively follow up on outstanding actions.
- Respond professionally to customer emails and phone calls.
- Work closely with our European operations team to ensure smooth communication across time zones.
- Support Project Managers with daily operational and administrative tasks.
- Maintain a high level of accuracy and attention to detail in all documentation.
- Identify opportunities to improve internal processes and organization.
- Excellent written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Comfortable using Microsoft Office, Google Workspace, and Excel.
- Ability to manage multiple tasks and priorities simultaneously.
- Professional, friendly, and customer-focused attitude.
- Comfortable communicating by phone and email.
- Self-motivated, reliable, and eager to learn.
- Ability to work independently while collaborating with a global team.
- Interest in logistics, events, entertainment, or project coordination is a plus.
- Previous experience in administration, customer service, project coordination, or operations is preferred but not required.
- Bachelor's degree is appreciated but not required.
- Ability to work effectively in high-pressure situations.
- Ability to perform the essential functions of the position with or without reasonable accommodation, including adequate vision and hearing.
- Excellent interpersonal and communication skills.
- Ability to communicate clearly and effectively in English, both verbally and in writing.
- Ability to occasionally lift up to 25 pounds to move equipment on and off shelves.
- Ability to sit, stand and walk for extended periods.
- Proficiency in the use of computers and standard office equipment.
- Ability to perform tasks requiring manual dexterity using both hands.
- Ability to travel domestically and/or internationally based on business needs.
