Position: Project Coordinator (Mission Critical/Data Center)

Project Coordinator

kW MCE is seeking a Project Coordinator for the following offices:
Tempe, AZ;
Atlanta, GA;
Troy, NY;
Herndon, VA;
Milwaukee, WI. The role supports the Project Manager and project teams through administrative duties across the project lifecycle, proactively assisting the team to move projects forward, enhance communication, and facilitate integration with clients.

Responsibilities
  • Coordinate with the project team during the proposal process to ensure all deadlines are met and reviews have been completed.
  • Support the project manager with internal communications and follow-up.
  • Maintain project calendar including deliverables, QC deadlines and publish to project team.
  • Assist in scheduling internal team meetings, project kick-offs, design reviews, etc.
  • Review project financial reports and communicate issues to project team.
  • Create and maintain project Smart Sheets and document file storage.
  • Track invoices and project payments.
  • Review deliverables during project deadlines to assist the project manager.
  • Ensure projects meet all internal compliance requirements.
  • Receive, file, distribute, process, and track due dates for RFIs, submittals and responses.
  • Support editing and formatting of specifications.
  • Prepare materials required for project pursuit.
  • Process contracts and sub-consultant contracts.
  • Attend project, department and team meetings, take notes and distribute notes internally and externally.
  • Generate project financial management reports.
  • Track scope changes and update project budgets accordingly.
  • Create and maintain project document file storage within the standard project directory structure.
Qualifications
  • High School Diploma or GED (required).
  • 5+ years of experience in project coordination or related administrative role.
  • Deadline-oriented, able to track and meet multiple concurrent deadlines.
  • Excellent verbal, written communication and problem-solving skills.
  • Proficiency with MS Office applications (Word, Excel, Outlook, PowerPoint).
  • Familiarity with Bluebeam, Smartsheet, and cloud-based file sharing platforms (SharePoint, Share File, Newforma, Dropbox, Box, etc.) is an advantage.
  • Strong computer and typing skills.
  • Self‑motivated and flexible, willing to take on new tasks and assist teams.
  • Strong willingness to learn.

Compensation:
Expected hourly (all locations) $29.00‑$35.00.
