IT Administrative Coordinator

The IT Services department at Penn Nursing seeks a motivated individual to provide front‑line customer service and administrative coordination for the Information Technology Services (ITS) and Building Operations departments.

Location:

Eligible for hybrid work – on campus 4 days per week and remote 1 day per week.

Job Responsibilities
  • Coordinate intake of people and issues needing assistance from IT or Facilities, and assist with issue tracking and follow‑up.
  • Develop and maintain systems to manage contracts, license agreements, purchasing, and invoicing; monitor and track budget and expenditures.
  • Coordinate PO creation and purchasing for ITS and Operations; reconcile accounts, investigate discrepancies, and assist in budgeting.
  • Coordinate web content updates for the public‑facing site, the ITS/Ops SharePoint sites, and keep knowledge‑base documentation current.
  • Provide administrative support: technology rollouts, events, conference‑room scheduling, supply ordering, and calendar management for the senior leadership team.
  • Serve as the initial point of contact for visitors and guests to the ITS/Ops office, greeting and assisting them in a friendly and professional manner.
  • Provide basic support for common IT or facility issues and escalation to the Service Desk or higher tiers as necessary.
  • Facilitate efficient office workflow, including documentation, meeting coordination, travel plan coordination, expense reimbursements, and processing of credit‑card expenditures.
  • Assist with writing and maintaining help documentation and templates; prepare project proposals, time frames, budgets, and reports.
