Job Details

Mercer University is searching for an Enrollment and Student Support Specialist for the College of Pharmacy on the Atlanta campus.

Responsibilities

The Enrollment and Student Support Specialist serves as the primary point of contact for the Office of Student Affairs and Admissions, delivering high‑quality customer service to students, faculty, staff, and external visitors via in‑person interactions, phone, and email. This position plays a vital role in creating a welcoming, service‑oriented environment while ensuring the efficient flow of information and support. The Specialist also provides essential administrative and operational assistance to the Director of Student Affairs and the Director of Admissions, contributing to the smooth coordination of enrollment, student services, and admissions activities.

  • Processing prospective student applications and facilitating the application review process
  • Managing data entry, exports, and reports
  • Maintaining digital application filing systems on the Pharmacy Admissions network drive
  • Communicating with applicants at various stages of the admission process
  • Scheduling and confirmation of PharmD applicant interview appointments
  • Preparing materials for admissions interviews and acceptance packets
  • Managing the registration process for the Pharmacy Scholars Summer Program
  • Assists with daily class attendance reports
  • Coordinates as needed for Professional Development Network Hour speakers
  • Audits student professional engagement activities
  • Assists with planning and managing events such as open houses, information sessions, admissions interviews, new student orientations, white coat, pinning, hooding, honors and awards, and commencement ceremonies
  • Audits and maintains a database of information from newly admitted students for use by other College departments and used for credentialing purposes
  • Manages departmental inventory, including office supplies, white coats, and name badges
  • Budget management
  • Provides administrative support for the Director of Student Affairs' teaching and service activities
  • Other duties as assigned related to the Office of Student Affairs and Admissions' functions
Qualifications

A high school diploma/GED and three years of prior administrative support experience are required. In lieu of experience, a combination of college coursework and at least one year of administrative support experience will be considered. Experience must include working with data/databases and customer service.

Skills and Abilities
  • Demonstrated ability to work independently to organize and prioritize multiple and complex tasks and work on multiple projects simultaneously, completing projects and tasks accurately and efficiently, under pressure and with interruptions, achieving goals and deadlines.
  • Demonstrated ability to provide excellent customer service and utilize problem solving and critical thinking skills necessary to locate and correct issues in admissions and student affairs processes to create and maintain quality control in applicant and student databases.
  • Possesses comprehensive computer skills including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint), databases, CRM and centralized application services (preferably Slate, CAS systems), web‑based platforms/software (e.g., Zoom), learning management systems (preferably Canvas, Exam Soft, and Anthology), and graphic design.
  • Excellent grammar and punctuation.
  • Attention to detail and accuracy in all work.
  • Ability to accurately code expenses to appropriate general ledger accounts.
  • Ability to reach and comprehend information and ideas presented in writing and ability to listen understand and interpret information/ideas presented verbally.
  • Excellent written, oral and interpersonal skills; ability to self‑direct and take initiative; and, the ability to solve problems within the scope of the position are all necessary requirements to success in this position.
  • Ability to collaborate with colleagues.
  • Ability to independently determine logistics (organize and anticipate problems in advance and prepare solutions) when planning large events involving 250+ people.
  • Ability to maintain confidentiality of all information and materials received in the office.
  • Knowledge of Microsoft Excel to maintain budget, expense reports, majors list, course schedule reports.
