Business Support Professional/Administrative Associate - Strategic Partnership Office

Hours:
40 per week.
- Manage a portfolio of events from initial scope discussions to day‑of event support, including greeting visitors, setting up conference rooms, and providing basic A/V assistance.
- Coordinate senior‑level meetings—both internal and external—including agenda development, speaker coordination, travel, registration, catering, and audiovisual support.
- Interface across NREL and with external partners, industry contacts, and DOE staff; act as the principal administrative point of contact for prospective business‑partnering opportunities.
- Prepare and process domestic and foreign travel arrangements using Concur, including authorizations and reimbursements.
- Track and provide basic financial monitoring of team budgets and expenses.
- Maintain electronic files, presentations, and other documentation, ensuring information is up to date.
- Track international partnership activities and approvals throughout the Laboratory.
- Utilize Salesforce to generate reports, input data, and support corporate business‑development activities within the IPO Directorate.
- Execute monthly and annual partnership satisfaction surveys and maintain the required data tools.
- Follow all Laboratory policies, DOE orders, and NREL requirements to ensure compliance and a safe working environment.
- Confidence, experience, and demonstrated professionalism working with senior‑level executives at NREL and external partners.
- Considerable knowledge of specialized business‑support functions: meeting planning and coordination, travel scheduling, expense management, and calendar coordination.
- Ability to work effectively with partners and staff from diverse cultural backgrounds, collaborating with other administrative professionals.
- Highly motivated self‑starter with excellent oral and written communication skills.
- Comfortable in a highly matrixed, flexible, fast‑paced environment.
- Strong attention to detail, time management, multitasking, and prioritization skills.
- Ability to maintain a high level of confidentiality.
- Diplomacy and the ability to handle ambiguity.
- Ability to work independently with minimal guidance or direction.
- Level II:
- High School Diploma or equivalent with 1+ year of experience, or an Associate’s Degree or equivalent certification.
- Solid knowledge of the job, general and detailed aspects.
- Intermediate skills in applicable software packages and office equipment.
- Basic project administration skills, prioritization, and proficient written and verbal communication.
- Very good team and interpersonal skills.
- Level III:
- High School Diploma or equivalent with 4+ years of experience, or an Associate’s Degree with 2+ years of related experience.
- Considerable knowledge of specialized business‑support functions and full understanding of general and detailed aspects.
- Advanced proficiency with Acrobat, Microsoft Office (Word, Excel, PowerPoint, Outlook), Teams, SharePoint, One Drive, One Note, Office
365 Apps (Forms, PowerBI). - Demonstrated project administration skills and strong communication and interpersonal skills.

- Excellent computer skills, including advanced proficiency with Acrobat and Microsoft Office, cloud collaboration apps, and Office
365 Apps. - Demonstrated ability to manage complex administration projects (LevelIII).

- High proficiency with PowerBI and Office
365 Apps Forms (LevelIII).
