The Receptionist creates the environment in which clients, attorneys, and colleagues interact with the firm every day. Position Summary:

Serve as a primary point of contact for clients, referral sources, opposing counsel, experts, vendors, and other visitors, ensuring each interaction reflects the professionalism, discretion, and service standards of Guilmette Henderson. This role is the first point of contact for clients, referral sources, opposing counsel, experts, vendors, and visitors. As the face of Guilmette Henderson, this position plays a critical role in shaping each individual’s experience with the firm.

This role also supports the Director of Finance and Administration by maintaining an organized, welcoming, and professional office environment aligned with our commitment to be Tough. Tactical. Trusted.

Key Responsibilities:
  • Greet and appropriately direct clients, visitors, vendors, delivery personnel, process servers, and other individuals entering the office.
  • Answer, screen, and route incoming calls.
  • Exercise sound judgment when handling sensitive or confidential information and determining when matters should be escalated to the Director of Finance and Administration or the appropriate attorney.
  • Maintain the reception area, lobby, conference rooms, and common areas.
  • Anticipate and proactively address office and client-service needs.
  • Prepare conference rooms for meetings and depositions.
  • Coordinate hospitality, beverages, and catering for meetings.
  • Receive, sort, scan, and distribute incoming mail and deliveries.
  • Prepare outgoing mail, courier packages, and shipments.
  • Maintain office and kitchen supplies and notify the Director of Finance and Administration of inventory needs.
  • Assist attorneys and staff with copying, scanning, binding, and other administrative requests.
  • Support office events, vendor visits, and facility readiness.
  • Assist with preparing work spaces for new employees.
Operational Rhythm: Daily Responsibilities:
  • Open and prepare the reception area each morning.
  • Monitor phones, visitors, conference rooms, and mail throughout the day.
  • Maintain a clean, organized, and client-ready office.
  • Reset conference rooms and secure the reception area at the end of each day.
Weekly Responsibilities:
  • Review office supply inventory and place or coordinate replenishment orders.
  • Confirm upcoming meetings, depositions, visitors, and hospitality requirements.
  • Ensure conference rooms and common areas are prepared for the following week’s schedule.
  • Identify facilities, technology, or administrative issues requiring the attention of the Director of Finance and Administration.
Qualifications: Required:
  • High school diploma or equivalent.
  • At least one year of experience in a front-desk, receptionist, administrative, or customer-service role.
  • Proficiency with Microsoft Office, including Word, Outlook, and Excel, as well as standard office equipment.
  • Professional phone manner and strong interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to maintain discretion regarding client identities, case information, attorney communications, and other confidential or sensitive information encountered in the course of work.
Preferred:
  • Prior experience in a law firm or professional-services environment.
  • Familiarity with multi-line phone systems and visitor-management tools.

Compensation and Benefits:
