Ford Harrison's Office Administrator will work collaboratively with firm management overseeing the day-to-day operations of the Atlanta office, with the potential to assume responsibility for additional office locations.
This role is full-time/exempt and reports to HR Director.
Essential Job Functions and Responsibilities:- Oversee day-to-day office management and provide direct operational support to legal and administrative personnel.
- Support and ensure compliance with firm policies and procedures.
- Review office expenses and monitor office administrative budgets, including forecasting and cost control.
- Manages support, coverage, and workflow of the legal assistants, paralegals, and office services teams.
- Continually review staffing levels to maintain effective ratios to ensure the highest degree of service is provided.
- Coordinate office-wide activities in alignment with firm policies and best practices.
- Ensure seamless onboarding and offboarding process, including coordination of logistics with operational departments.
- Maintain and update the firm's staff policy manual to ensure policies remain current and compliant with applicable federal, state, and local employment laws.
- Partner with HR and Office Management to address employee relations matters, performance concerns, performance evaluations, and organizational changes.
- Foster an inclusive, collaborative and high performing workplace culture that supports engagement and retention.
- Oversee facility operations, including inter- office moves and utilization.
- Partner with building management and Facilities Coordinator to address day-to-day facility issues and ensure a safe and functional work environment in alignment with firm standards.
- Oversee relationships with external vendors and service providers.
- Collaborates with payroll on bi-weekly employee timesheet and OT approvals.
- Manage leaves in conjunction with the Benefits Administrator.
- Manage other duties, tasks, and projects assigned.
- Bachelor's degree or relevant work experience.
- A minimum of 4+ years of law firm administration and HR experience.
- Possess a strong understanding of HR policies, practices, and employment laws.
- Effective office management skills with prior direct supervisory responsibility in a law firm.
- Exceptional verbal and written communication skills with the ability to interact with all levels of the firm.
- Capable of maintaining confidence of personal and highly sensitive information.
- Ability to travel to other firm offices when required and be available outside regular business hours in emergencies or high priority situations.
- Demonstrates strong problem-solving skills and consistent follow-through.
- Self-starter with a can-do attitude.
- Proficient in Microsoft Applications - Outlook, Word, Excel, PowerPoint.
