This position plays a critical role in coordinating business operations, managing administrative processes, supporting travel and conference activities, maintaining organizational records, and facilitating communication across internal and external stakeholders.

Key Responsibilities Administrative and Correspondence Support- Prepare, review, and distribute correspondence in written and electronic formats.
- Respond to routine inquiries and direct non-routine requests to appropriate personnel.
- Develop and maintain organized electronic filing systems and shared drive structures to improve document accessibility and records management.
- Prepare reports, briefing materials, presentations, memoranda, and other administrative documentation.
- Maintain tracking systems, reports, and spreadsheets to support program operations and decision-making.
- Manage calendars for leadership and staff, including scheduling appointments and resolving conflicts.
- Coordinate logistics for virtual and in-person meetings, conferences, teleconferences, and stakeholder engagements.
- Prepare meeting agendas, coordinate participants, reserve meeting space, and provide meeting support services.
- Coordinate room scheduling and meeting logistics utilizing applicable facility management systems.
- Prepare and coordinate travel authorization requests and travel vouchers in accordance with CDC, HHS, and federal travel policies.
- Submit, monitor, and track conference approval requests through the Conference Approval Management System (CAMS).
- Provide comprehensive pre-travel and post-travel support to staff and leadership.
- Coordinate conference registrations, training requests, and other travel-related administrative activities.
- Coordinate personnel action processing and administrative documentation.
- Support employee onboarding and offboarding activities through applicable CDC systems and processes.
- Process time and attendance records for assigned personnel in accordance with established procedures.
- Submit and track internal requests for supplies, printing services, maintenance needs, training, software licenses, and other operational support activities.
- Process security and access requests in accordance with federal guidelines and agency procedures.
- Develop and maintain tracking tools for action items, travel activities, program milestones, and operational requirements.
- Maintain accurate records of upcoming meetings, publications, events, and communication activities.
- Collaborate with internal and external stakeholders to support organizational priorities and operational requirements.
- Provide backup support for other program offices and assist with special projects as assigned.
- Perform other duties as assigned.
- Bachelor's degree and 1-2 years of relevant professional experience; or
- High school diploma and 6-8 years of relevant professional experience.
- Experience supporting federal government programs, agencies, or contracts.
- Advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
- Strong organizational, planning, and time management skills with exceptional attention to detail.
- Demonstrated ability to manage multiple priorities and adapt to changing business requirements.
- Excellent written, verbal, and interpersonal communication skills.
