Sr. Executive Assistant

We are looking for an experienced Sr. Executive Assistant to provide high-level support to the chief executive of a mission-focused nonprofit organization. This is a Contract position that requires a detail-oriented candidate with significant experience who can manage shifting priorities, protect sensitive information, and keep executive operations running smoothly in a hybrid environment with primarily onsite work. The ideal candidate brings strong judgment, outstanding communication skills, and the ability to anticipate needs while supporting leadership, board-related activities, and key organizational initiatives.

Responsibilities:

  • Oversee a dynamic executive calendar, balancing meetings, priorities, and time-sensitive commitments with careful attention to changing business needs.
  • Organize internal and external meetings, leadership sessions, board-related gatherings, and special events while ensuring all logistics are handled efficiently.
  • Coordinate domestic and international travel plans, including transportation, lodging, itineraries, and related scheduling details.
  • Develop agendas, presentation materials, briefing documents, and supporting content for executive and board meetings.
  • Participate in meetings when needed, record key discussion points, and distribute notes along with follow-up actions to relevant stakeholders.
  • Draft, edit, and format executive correspondence, reports, presentations, and other business documents with a high standard of accuracy and professionalism.
  • Act as a central point of contact for internal teams, board members, donors, partners, and other external stakeholders interacting with the executive office.
  • Monitor deadlines, action items, and deliverables to help ensure priorities are completed on schedule.
  • Provide support for strategic projects, planning efforts, leadership events, and broader nonprofit initiatives while maintaining strict confidentiality.
  • Anticipate executive needs, resolve issues proactively, and offer dependable assistance outside standard business hours when priorities require it.
