* POSITION SUMMARY:
** The Administrative Associate is responsible for working directly with department or team in performing administrative duties as assigned. It is the responsibility of the Administrative Associate to maintain and promotes overall office efficiency.
It is also the responsibility of Administrative Associate not only to exhibit legendary customer service when communicating with colleagues, clients, owners, and vendors but also to focus on productivity and results.
** POSITION
ESSENTIAL FUNCTIONS:
*** Provide high-level administrative support including but not limited to detailed calendar management, overseeing correspondence, invoice tracking, presentations and assembling reports.
* Track all projects and budgets to meet deadlines.
* Schedule and organize meetings and events, conference calls and appointments.
* Prepare items in relation to meetings, including but not limited to, creation and assembly of documents for distribution, coordination of site/location reservation, food orders, attendance confirmations, and interacting with attendees to address questions or issues on an event.
* Assist with research and other various related duties.
* Assures appropriate resources are available for staff to be successful in their role.
* Main point of contact for the team.
* Additional assignments as assigned.
** POSITION REQUIREMENTS:
*** High school diploma or GED equivalent.
* Some college and/or Associate degree preferred.
* A minimum of 0-2 years of administrative experience, in commercial real estate a plus.
* Proficiency with Microsoft Word, Teams, Excel, PowerPoint, Adobe Acrobat, and Outlook.
* Flexible attitude, solution-focused and proven analytical and problem-solving abilities.
* A strong desire to tackle new projects to assist a high performing team.
* Excellent interpersonal skills - effective verbal and written communication skills.
* Resourceful approach to effectively managing workloads to meet deadlines, while delivering high-quality work in a fast-paced environment.
* Strong attention to detail - excellent proofreading and editing skills.
* Ability to maintain discretion regarding personnel and industry-related matters.
* A strong work ethic and sense of responsibility, reliability, and responsiveness.
* Uses a computer in conjunction with various software packages the majority of the day.
* Uses office equipment (copiers, binders, phone system, etc.)
* Uses audio-visual equipment.
