SUMMARY
This position provides critical B2B operational support across order management, logistics coordination, and customer service. The role serves as a key liaison between Sales, Accounting, Manufacturing, internal partners, and external customers to ensure accurate and timely execution of orders from purchase order receipt through customer delivery. This position maintains data integrity, operational visibility, and strong cross-functional communication to support a high-quality customer experience.
POSITIONRESPONSIBILITIES Order Management
- Receive, review and acknowledging all customer purchase orders.
- Enter and maintain purchase orders accurately into ERP.
- Prepare customer-facing reports and maintain internal reports to ensure data accuracy.
- Monitor customer portals for new and revised purchase orders.
- Manage purchase orders in collaboration with our Anisa China team and 3rd party suppliers.
- Support B2B inventory management and order status visibility.
- Manage the order-to-delivery process from purchase order receipt through customer delivery.
- Coordinate with suppliers, customers, and freight forwarders to ensure on-time delivery with complete and accurate documentation.
- Ensure shipment comply with US, International trade laws and vendor guidelines.
- Prepare and manage required shipping documentation for domestic and international shipments.
- Support the Sales team with order management, reporting and customer inquiries.
- Support Accounting team with invoicing inquiries and order related documentation.
- Communicate with internal and external customers using a solutions-focused, service-oriented approach.
- Support and maintain strong domestic and international relationships, with customers and suppliers.
- 2+ years of relevant business experience.
- Bachelor's degree in a related field or equivalent work experience.
- Highly detail-oriented and organized.
- Process focused and takes pride in accuracy and high standards.
- Excellent follow-up skills.
- Highly analytical with the ability to proactively make suggestions and provide feedback.
- Clear and accurate communication skills, verbal and written.
- Effective problem-solving skills.
- Ability to multi-task a high volume of competing demands and meet deadlines with demonstrated initiative.
- Proficient in Microsoft Excel, Word, and PowerPoint.
- Experience using Box, Salesforce, and Net Suite a plus; ability to quickly learn and adapt to new platforms.
