Project Coordinator – 3rd Shift

Salary range: $51,035-$76,000

This is a 3rd shift position.

The Project Coordinator – 3rd Shift is responsible for assisting leadership in the planning, coordination, and oversight of overnight airside maintenance, construction, and operational projects within the Department of Aviation Grounds Maintenance. This position serves as the on-site lead for 3rd-shift operations and assumes the authority and responsibilities of the Project Manager in the Project Manager's absence.

This is an experienced, skilled, or technical-level position capable of carrying out most assignments typical of the role with limited guidance or review. The Project Coordinator is expected to exercise sound independent judgment, lead field personnel, coordinate with contractors, and ensure that all overnight project activities are conducted safely, efficiently, and in compliance with applicable city or federal standards and regulations.

Works under the general supervision of the Project Manager Sr. and Project Manager or designated leadership. In the Project Manager's absence, the Project Coordinator – 3rd Shift assumes full lead authority over shift operations and personnel.

Provides direct oversight, guidance, and instruction to contractors and temporary staff assigned to the 3rd shift. May assist in orienting or training new facility coordinators.

Responsibilities

Serves as the on-site lead for all 3rd shift project activities, ensuring work is completed safely, on schedule, and within scope.

Acts in the capacity of Project Manager during their absence, making operational decisions and escalating issues as appropriate.

Assists leadership in the planning, scheduling, and coordination of overnight construction, maintenance, and renovation projects.

Monitors project progress against established timelines and milestones; provides shift-end reports to management.

Coordinates pre-shift briefings to communicate project objectives, assignments, safety protocols, and any special instructions to shift personnel.

Provides on-site oversight of contractors and vendors performing work during the 3rd shift to ensure compliance with contract documents, safety requirements, and applicable codes.

Verifies that contractors have proper credentials, permits, and access authorizations before work begins.

Documents contractor performance, work quality, and any deviations from contract requirements.

Coordinates contractor activities to minimize disruption to airfield and facility operations.

Ensures all overnight project activities conform to applicable safety regulations and department policies and procedures.

Conducts safety inspections and enforces safe work practices for both department staff and contractors.

Identifies, documents, and reports unsafe working conditions; takes immediate corrective action as warranted.

Ensures airside and landside safety protocols are maintained in accordance with Airport Movement Area (AMA) requirements, TSA, and FAA regulations.

Communicates orally and in writing with management, peers, subordinate personnel, contractors, and other departments to coordinate overnight project activities.

Prepares and submits detailed shift reports documenting project status, completed tasks, personnel activities, incidents, and any outstanding issues.

Responds promptly to emergency calls and unplanned maintenance needs during assigned shift; coordinates appropriate resources to resolve issues.

Attends pre-project planning meetings, scheduling sessions, and coordination conferences as required.

Schedules, plans, and prepares work orders, service requests, inspections, and work notices to support overnight project execution.

Inventories materials, tools, and equipment to ensure adequate resources are available for shift operations.

Assists in the development and tracking of project budgets and resource expenditures.

Instructs and trains new staff on proper work methods, safety requirements, facilities procedures, and relevant policies.
