Full Job Description
Act as primary assistant to the Director and/or Executive Director in all matters relating to program management, including the development of comprehensive activities and services. Assist with planning, organizing, and budgeting for all activities under the umbrella of the Center. Under the general direction of the Executive Director, the Associate Director oversees the ongoing procedures and operations of departmental programs, establishing and setting priorities and organizational structure in conjunction with partner academic institutions.
Responsibilities- Establish, develop, and maintain rapport with STEM Center students, faculty, and staff; provide ongoing support including assisting students in obtaining academic and financial support, and aid in securing assistance for overall academic success. This may include helping students with projects for oral and written presentations at academic conferences and securing information from other academic institutions for graduate schools.
- Develop, plan, and organize activities for STEM Center students, including meetings and workshops to assist with academic and career internships and placement activities. Assist students with nonacademic STEM activities such as professional organizations, clubs, and internships.
- Plan, organize, and coordinate conferences, including the Annual Research Symposium for students. Secure the conference site, negotiate rates for accommodation (meeting rooms and hotel rooms), assist in securing conference speakers, vendor assistance, and advertise the conference locally and nationally.
- Coordinate and prepare Annual and Final Reports for various agencies; ensure that each partner institution submits the appropriate data and information for narrative in a timely manner.
- Prepare and produce statistical reports, analyses, and exhibits for internal and external use and reporting as needed.
- Assist the Director and/or Executive Director with grant proposal preparations.
- Keep current on latest software and computer technology, maintain departmental website, and develop computer linkage and application processes for both the annual research symposium and academic scholars’ program.
- Provide supervisory support for other staff members in the department when required.
- Bachelor’s degree.
- A total of one (1) year (12 months) of education, training and/or work experience in the area of specialization inherent to the position. (A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
- Based on position requirements, additional education, training, and/or work experience in the area of specialization may be required.
Master’s degree preferred.
