Program Coordinator

The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.

Key Responsibilities:

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
  • Conducts research and gathers information to develop various publications.
  • Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
  • Assists in developing and coordinating program-related conferences, conventions, or meetings.
  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.
  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.
  • Prepares operational and statistical reports.
  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
  • Performs related responsibilities as required.

Minimum Qualifications:

  • Bachelor's degree in a field related to the program.
  • Two years of related experience, or an equivalent combination of education, training and experience.

Additional Job Details:

  • This person will be working closely with the Director of Graduate Studies, Director of Graduate Admissions Program, Department Chair, the Assistant Program Director, all staff members and all graduate students in our program.
  • Main responsibilities will include tracking the admissions process and administering new student recruitment, student enrollment, RA/TA space allocation, degree tracking
  • Attending and taking notes at committee meetings, organizing poster/paper sessions each semester, scheduling PhD defenses and degree clearances, TATTOO tracking, assisting with Dean's Teaching Fellowship applications, PhD placement, reviewing graduate course schedule and course evaluations, and ensuring compliance with LGS policies and procedures.
  • Workweek will be 40 hours per week, Monday through Friday, except for special events and certain deadlines through the year which will require being in attendance after normal work hours.
  • Requires presence on campus five days a week.

Preferred Qualifications:

  • This is an administrative position managing the graduate program of the Department of Political Science, which is a unit under Emory College of Arts and Sciences.
  • Successful candidate must be detail oriented, have excellent oral and written communication skills and be adept at Microsoft Office applications.
  • Also should demonstrate very strong organizational skills and project management skills
  • Flexibility in dealing with unexpected issues, creative brainstorming and strong problem-solving abilities are necessary.
  • Exercising good judgment and maintaining confidentiality are required.
  • Experience with professional social media content creation and website content management would be a plus.
  • Should exhibit strong interpersonal skills and ability to interact with internal and external partners.
  • As a member of the administrative team within the department, this position will support department-wide initiatives, which may include: event planning, travel planning, purchasing supplies and finance reimbursements and payments, in addition to other related responsibilities as required.
