POSITION SUMMARY

The Artistic and Operations Manager reports to the Director of Artistic Administration and serves as a shared planning and operational resource for Artistic and Production. This position coordinates company-wide artistic scheduling, releases, Studio Artist scheduling, production information, and shared planning systems, including DIESE, The Atlanta Opera’s integrated performing arts planning and operations platform.

KEY RESPONSIBILITIES

Your responsibilities include, but are not limited to, the following exciting challenges and additional duties as assigned:

  • Production Scheduling: Coordinate and maintain full-company production, rehearsal, and daily schedules in collaboration with Production; track future planning dates, milestones, venue and rehearsal-space usage, and overlapping activity across multiple locations.
  • DIESE Administration: Serve as the primary administrator and power user for DIESE, including implementation, workflow development, data integrity, reporting, user support, and coordination with internal stakeholders and the software provider.
  • Calendar & Planning Management: Maintain the Artistic department Outlook calendar and accurate planning data for productions, rehearsals, performances, personnel, venues, resources, meetings, and schedule changes.
  • Artistic & Production Liaison: Serve as a primary liaison between Artistic and Production regarding schedules, rehearsal needs, room use, production documents, and project changes; assist directors, assistant directors, and Stage Management with related communication and operational needs. Collaborate with Production and Artistic on casting needs based on production information.
  • Production Information & Documentation: Create, maintain, and distribute Production Information Sheets, cast pages, and guides for conductors and Stage Management; communicate production rental information and resulting artistic or scheduling needs.
  • Artist Releases & Availability: Manage releases and availability for principal artists, Studio Artists, chorus, orchestra, supers, dancers, and other assigned personnel; obtain approvals and communicate decisions and conflicts.
  • Personnel Coordination: Work with the Chorus Personnel Manager, Orchestra Personnel Manager, Assistant Artistic Administrator, and Artistic Coordinator to align scheduling, availability, hiring, contracting, and logistical needs.
  • Casting & Auxiliary Personnel Scheduling: Coordinate schedules and operational information for supers, dancers, choreographers, fight coordinators, intimacy coordinators, and other assigned personnel, assisting with planning and casting as required.
  • Studio Artist Scheduling: Create and maintain Studio Artist schedules for coaching, classes, individual and group sessions, rehearsals, performances, outreach, special projects, meetings, and check-ins.
  • Cross-Department Coordination: Coordinate and communicate scheduling with other departments such as Film Studio, Community events, and artist special training.
