The Licensing Specialist is responsible for preparing, submitting, tracking, and maintaining licensing applications across multiple jurisdictions to support dealership and corporate operations. This role plays a critical execution-focused function by ensuring licensing filings are accurate, complete, and timely. While the position does not manage corporate entities, it requires a strong working understanding of entity structures, ownership, and officer information to correctly complete regulatory applications.
The role requires exceptional attention to detail, consistent follow-up with manufacturers and licensing authorities, and disciplined status tracking to ensure compliance and avoid operational delays.
Duties/ResponsibilitiesLicensing Application Preparation & Submission
- Prepares, completes, and submits state and local licensing applications, including new licenses, renewals, amendments, and transfers
- Accurately reflects entity, ownership, officer, and DBA information on licensing applications using provided records
- Identifies jurisdiction-specific requirements and ensure applications meet all documentation and timing standards
- Submits applications through appropriate portals or agencies and confirm receipt
Application Tracking & Follow-Up
- Tracks application status from submission through approval using internal trackers or systems
- Proactively follows up with manufacturers, state and local agencies regarding application progress, deficiencies, or additional information requests
- Coordinates internally to obtain required signatures, documents, or clarifications
- Maintains renewal calendars to prevent license lapses
Entity Knowledge & Information Accuracy
- Maintains a functional understanding of Asbury's entity structures, ownership relationships, and officer roles for licensing purposes
- Uses existing entity records to complete applications without independently managing or updating entity data
- Identifies and escalates discrepancies in entity information to Legal or relevant stakeholders
Officer & Ownership Disclosures
- Collects and organizes officer, ownership, and personal history information required for licensing filings
- Coordinates background checks, fingerprinting, notarized disclosures, and related requirements
- Submits timely amendments when officer or ownership changes impact active licenses
Records Management & Reporting
- Maintains organized licensing files by jurisdiction and location
- Documents application activity and correspondence for audit readiness
- Provides regular status updates and reports on active applications and upcoming renewals
Cross-Functional & External Coordination
- Partners with Legal, Finance, Accounting, and Operations to obtain required licensing information
- Serves as a primary point of contact with manufacturers and licensing agencies for routine matters
- Supports manufacturer-related licensing submissions as applicable
Performs other related duties to benefit the mission/vision of the organization
Education & Experience
- Prior experience preparing and submitting licensing applications in a multi-jurisdictional environment
- Working knowledge of corporate and operational entities (e.g., DBAs, ownership, officers) sufficient to complete regulatory filings
