Job Description

The System Administrator is responsible for the configuration, administration, and ongoing support of an enterprise-level permitting, licensing, and case management platform used to support regulatory, inspection, and compliance operations. This role serves as a technical and functional liaison between business users, IT, and external vendors to ensure the system is stable, secure, efficient, and aligned with departmental workflows. The role requires the ability to troubleshoot configuration and customization issues.

The position will have the opportunity to perform a variety of functions in the development lifecycle, including systems analysis, scripting, configuration, testing, change management, maintenance and user communication tasks to deliver new mission critical solutions to various City agencies.

Essential Duties & Responsibilities

These are typical responsibilities for this position and should not be construed as exclusive or all inclusive. May perform other duties as assigned. Essential functions may include, but are not limited to the following:

System Administration
  • Configure, and maintain enterprise-level permitting, licensing, and case management platform and related infrastructure.
  • Monitor system performance and troubleshoot issues to ensure high availability and reliability of Permitting Platform.
User Support and Training
  • Provide technical support to end-users, addressing issues related to enterprise-level permitting, licensing, and case management platform and escalating complex problems to Permitting Platform’s support team.
  • Work with the Office of Buildings Operations staff to develop and deliver training sessions for users to enhance their proficiency with the software.
System Configuration and Customization
  • Configure enterprise-level permitting, licensing, and case management platform modules and features based on business requirements and user needs.
  • Customize workflows, forms, and reports to align with organizational processes and standards.
  • Manage user roles and permissions, ensuring appropriate access levels and security.
Integration and Development
  • Support integration of enterprise-level permitting, licensing, and case management platform with other systems and applications as needed.
  • Work with developers to troubleshoot and resolve issues related to custom integrations or modifications.
  • Participate in the design and implementation of new features or enhancements to the system.
D ocumentation and Reporting
  • Maintain comprehensive documentation of system configurations, changes, and troubleshooting steps.
  • Generate and review system performance reports and metrics, providing recommendations for improvements.
Decision Making

Applies organizational policies. Selects from multiple procedures and methods to accomplish tasks. Establishes training methods, schedules, timetables, performance standards, etc.

Knowledge, Skills & Abilities
  • Proven experience in system administration, specifically with a permitting platform.
  • Strong understanding of a permitting platform’s Building & Planning Modules and configuration options.
  • Strong understanding of a permitting platform’s public facing platform and configuration options.
  • Experience with a permitting platform’s GIS Mapping feature and configuration options.
  • Experience with a permitting platform mobile inspector and configuration options
  • Proficiency in troubleshooting and resolving technical issues related to a permitting platform.
  • Experience with database management, SQL, and scripting languages.
  • Experience with creating and editing Crystal Reports
  • Excellent problem-solving skills and the ability to work independently and as part of a team.
  • Strong communication skills, with the ability to explain technical concepts to non-technical users.
  • Understanding of relational databases, security roles, and system integrations.
