Reporting to the Paralegal Manager, the Intellectual Property Paralegal plays a critical role within the firm’s Intellectual Property Practice Group.
This position works directly with attorneys on a wide range of trademark matters, supporting clients in building and protecting their brand portfolios.
The role offers the opportunity to engage with complex, fast‑moving IP work while contributing to a high‑performing, collaborative team.
Key Responsibilities- Coordinate domestic trademark filings with the USPTO and international trademark filings through foreign counsel.
- Prepare and file U.S. trademark applications, renewals, Statements of Use, extensions of time, assignments, and other prosecution and maintenance documents via TEAS.
- Prepare and file non-substantive Office Action responses and other USPTO correspondence as directed by attorneys.
- Assist with Trademark Trial and Appeal Board (TTAB) matters, including preparation and filing of extensions of time, oppositions, cancellations, and other documents via ESTTA.
- Correspondence with clients regarding upcoming deadlines and request for instructions.
- Manage attorney docket and upcoming deadlines.
- Conduct and review preliminary trademark screening searches using USPTO databases (TESS/TSDR), WIPO Global Brand Database, and other industry search platforms.
- Monitor and maintain domestic and international trademark portfolios, including tracking deadlines, renewals, oppositions, and maintenance requirements using the firm’s docketing system.
- Coordinate with foreign counsel regarding international prosecution and enforcement matters.
- Prepare and record trademark assignments, name changes, and related ownership documents with the USPTO.
- Prepare client correspondence regarding trademark searches, filings, prosecution updates, and maintenance deadlines.
- Investigate and compile information regarding potential trademark infringements and enforcement matters.
- Prepare status summary and portfolio reports for attorneys and clients.
- Maintain and organize electronic trademark records and files.
- Process and respond to correspondence received from the USPTO and foreign counsel.
- Obtain legalizations, certifications, and apostilles for international filings.
- Ability to convey information to individuals at all levels within the firm in a courteous and professional manner; strong service orientation.
- Excellent organizational skills, including the ability to work concurrently on multiple matters with shifting priorities and strict deadlines.
- Bachelor's degree with ABA paralegal certification or an Associate’s/Bachelor’s degree in Paralegal Studies preferred, demonstrating a strong academic foundation in legal principles.
- Minimum of 7 years of paralegal experience, ideally with a focus on intellectual property or a similarly document‑intensive, deadline‑driven practice.
- Solid knowledge and understanding of legal principles and practices, enabling effective support of attorneys and clients.
- Proficiency with Microsoft Office Suite, including document creation, formatting, and organization.
- Strong organizational and problem‑solving abilities, with the capacity to juggle multiple active matters and shifting priorities.
- Exceptional interpersonal and communication skills, ensuring clear, effective engagement with internal and external clients, attorneys, and staff while maintaining a high level of professionalism and service.
- Ability to handle confidential and sensitive information with discretion, maintaining the highest standards of professionalism.
- Willingness to work moderate to heavy overtime as needed to meet client and case deadlines.
