Position SummaryThe Project Manager, Transition & Activation is responsible for planning, coordinating, and executing the operational transition of healthcare facilities during new construction, renovations, expansions, and replacement hospital projects. This position ensures clinical and support departments are prepared to occupy new or renovated spaces safely, efficiently, and with minimal disruption to patient care. This role serves as the bridge between design and construction teams, operational readiness team, and hospital operations from design through occupancy and post-move stabilization.
This position requires a detailed understanding of the design and construction processes, FF&E outfitting and timelines, move sequencing, and overall asset and people readiness.
This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
Operational Readiness- Assists with managing comprehensive transition and operational readiness plans.
- Assists the client and/or Operational Readiness team with the training plans and schedules, mock scenarios, and Day in the Life, as required.
- Facilitates and supports the client and/or Operational Readiness team with the building orientation, tours, literature, and way finding materials.
- Develops and maintains a fully integrated project schedule. This includes construction milestones, furniture, fixtures and equipment procurement and installation timelines, relocation of reuse equipment, orientation and training, IT Systems, Access Control, Audio Visual Equipment, moves and decommissioning of equipment, as required.
- Coordinates activation timeline with the construction schedules. Prepares contingency plans for delayed construction or phased occupancy.
- Participates in design and construction meetings as required by the Project Management team.
- Develops and manages department and room readiness checklists.
- Develops detailed move schedules and move sequence plans by department and facility.
- Assists in developing patient and department move routes with Owner and/or Operational Readiness team.
- Manages occupancy permits and readiness checklists.
- Leads departmental transition planning meetings to gather and document pertinent information relative to transition requirements.
- Coordinates medical equipment procurement with Owner and/or Medical Equipment Planner.
- Serves as the main point of contact for all transition-related activities.
- Monitors readiness and construction milestones and reports progress to Owner.
- Prepares meeting agendas and meeting minutes.
- Tracks and maintains issue logs, decision logs, and lessons learned.
- Prepares monthly client project progress reports and/or dashboards.
- Coordinates Medical Equipment delivery activities with Owner and/or Medical Equipment Planner.
- Coordinates warehouse and furniture on-site installation with Owner and/or move vendor.
- Coordinates IT & low voltage on-site installation with Owner and/or IT vendor.
- Coordinates supply stocking with Owner.
- Verifies way finding and signage installation with Owner and/or signage vendor.
- Coordinate security and access control activation with Owner and/or security vendor.
- Tracks data related to delivery, installation, and final sign off by the owner.
- Coordinates patient, staff, equipment, and supply moves.
- Assists the client and/or Operational Readiness team with move-day command center operations.
- Solicits, procures, and manages move consultants and vendors.
- Solicits and procuress warehouse vendors with Owner and/or move vendor.
The requirements listed below are representative of the knowledge, skills, and abilities required to perform this job successfully.
- A bachelor’s degree in a related discipline or minimum equivalent years of healthcare project management experience required.
- A minimum of 5 years of prior experience as a transition planner in a healthcare environment.
- Knowledge and experience of healthcare facility design and construction processes preferred.
- Experience with construction projects in the $10-500 million range.
- Ability to multi-task and meet various deadlines.
- Excellent organization skills, and strong written and verbal communication.
- Intermediate knowledge of Microsoft Office suite, including Microsoft Excel, Microsoft Project, and Power BI. Experience with Procore, Autodesk Construction Cloud (ACC), Fit Up, and Trimble (e-Builder) preferred.
- Travel for this position will be required and varies by project and project phase. This travel can be extensive during project activations and Go Live, and it may include weekends and evenings, as necessary.
